RESIDENT MANAGER
AOAO KA'IULANI OF PRINCEVILLE
KAUAI, HAWAII
RESPONSIBILITIES
Candidate will:
Project Management
Represent the AOAO Board of Directors and resident owners in sustaining community excellence.
Troubleshoot building, infrastructure and landscaping issues and identify projects that need attention. Conduct appropriate due diligence and assessments and report on them to the Board. Institute project management plans and provide general project oversight.
Operations Management
Supervise a maintenance and landscape team for routine care of the grounds, pools and pool pavilion area, buildings and infrastructure, roads and sidewalks, and other common and limited common area elements.
Engage contractors, vendors and other outside professionals as appropriate to provide goods and services to the complex, including bid procurement, basic contract negotiation and execution, scheduling, budget conformity and work oversight.
Administer work done by outside professionals, including building, roof, electrical and plumbing repairs, pump station, pool area work, painting and caulking, road and sidewalk maintenance, and other major projects. Ensure compliance with the AOAO Work Policy and arrange for appropriate quality control.
Conduct periodic inspections of the property to ensure that all systems are working properly, house rules are adhered to, and that the complex maintains its appearance and remains clean, safe and secure. Handle on-call responsibilities and respond to emergency issues in a timely manner.
Maintain a strong working knowledge of the AOAO Governing Documents (Declaration, Bylaws, House Rules) and Work Policy and familiarity with Hawaii condominium regime and local County requirements. Maintain and keep current AOAO records.
Maintain knowledge and keep updated comprehensive lists of current contractors, vendors and other outside professionals appropriate to the AOAO. Serve as the central resource for all AOAO matters.
Communications Management
Provide weekly status reports to the AOAO Board; create and present reports on major issues and projects to the Board as the Resident Manager deems appropriate or as otherwise requested by the Board.
Attend all Board and AOAO Owner Meetings. Attend Committee Meetings as requested by the Board.
Coordinate with the AOAO’s management company and legal counsel as appropriate. Develop collaborative relationships with other property managers in the area.
Conflict Management
Investigate owner complaints and resolve issues; prepare incident reports and follow up on rule violations.
Financial Management
Process and keep track of AOAO operating and capital expenditures.
Participate in the annual budgeting process, including review of past and current expenditures, obtaining cost estimates for future expenditures, and providing meaningful input in Reserve Study analysis.
Other Responsibilities
Take on other responsibilities as may be assigned by the Board.
REQUIRED SKILLS
The successful candidate will be a proven effective team leader with excellent project management skills, and sound judgement. Candidate will be highly self-motivated with a can-do, proactive attitude, and have the following skills and experience:
- Significant experience in grounds and building maintenance; solid general understanding of construction methods and operations, building and infrastructure systems, landscaping, and other aspects of property management.
- Superior supervisory skills. Experience interviewing, hiring and evaluating staff.
- Demonstrated ability to multi-task, prioritize, and manage multiple operational matters on a daily basis.
- Demonstrated creative thinking, troubleshooting and problem solving, and conflict resolution skills and experience.
- Experience in contract negotiation, management and oversight with contractors, vendors and other outside professionals.
- Facility with basic financial concepts; ability to administer, and assist in the creation and monitoring of, operational and capital expenditure budgets.
- Good customer service skills: courteous, tactful, diplomatic and appropriate conduct in interactions with AOAO Board members, owners, and outside professionals. Proven ability to effectively interface with residents and collaborate with the AOAO Board.
- Demonstrated ability to manage during a crisis (i.e., fire, flood, power outages, etc.).
- Strong written and verbal communication skills. Ability to write effective business correspondence.
- Good data management and record keeping skills.
EDUCATIONAL AND PROFESSIONAL QUALIFICATIONS
- 5-10 years relevant Resident Manager or similar residential property management experience, including staff supervision
- Professional Certifications (CMCA, ARM, AMS, PCAM) highly desirable.
- College degree preferred; High school diploma or general education degree (GED) required
- Solid computer skills. Proficiency in MS Outlook, Word, Excel, PowerPoint, Google Docs, Sheets, Drive, and working knowledge of property management applications
- Current Hawaii Driver’s License
CONTINGENCIES
Employment will be contingent upon:

WORK SCHEDULE
- Monday through Friday office hours: 8 am - 5 pm
- On call evenings and weekends as needed
