What are the responsibilities and job description for the Part-time Administrative Assistant position at AOUO Interstate Building?
Primary Purpose:
Assist with daily operations of the Interstate Building; provide administrative support to clients and tenants that reside in the building. Provide effective communication, efficient coordination, and maintain professional relationships with the tenants and clients of the building. Additionally, coordinate with external service providers for tenants, ranging from maintenance to administrative orders.
Essential Functions:
Building Administrative Functions:
- Effectively send out owner payments in a timely manner.
- Reading and analyzing incoming memos, submissions, and distributing them as needed.
- Send out memos and letters to tenants and owners.
- Schedule work orders with a multitude of tenants and vendors.
- Ensure timely payments are made to vendors.
- Create invoices with QuickBooks.
- Performing quality control on the projects throughout development to maintain the standards expected.
- Prepare daily reports.
- Schedule staff to meet the daily business needs.
- Maintain physical and electronic filing system.
- Scheduling appointments with vendors.
Administrative Assistant Functions:
- Provide general administrative support.
- Answer, screen, and forward incoming phone calls in a professional manner or take detailed telephone messages.
- Ensure the company provides superior services to our clients.
Other Functions:
- Greet and welcome clients/visitors/contractors as soon as they arrive with a positive and helpful attitude.
Working Conditions:
- Indoors, air-conditioned, at an office desk.
Work Hours (Office Hours):
- Monday - Friday, 8:00 a.m. - 12:00 p.m & 1p.m - 5 p.m. (Flexible Schedule)
Equipment Used:
- Windows computer, Microsoft Office applications, QuickBooks, multi-line phone, standard office equipment.
Physical, Mental, and Communication Demands:
- Building Administrative Assistant duties require frequent multitasking; require lifting less than 10 lbs.
- Requires General Supervision, direction, and general guidance from executive.
- Customer service duties require relating to people in a friendly and professional manner.
- Requires punctual, strong attendance history.
- Requires excellent verbal and written communication skills.
- Demonstrates ability to ready, write, and speak English.
- Require simple mathematical skills with the use of office equipment.
Minimum Qualification Requirements:
- In addition to meeting the physical, mental, and communication demands listed above, requires comfortability with multi-tasking and prioritizing tasks without guidance. Have excellent interpersonal skills, proficiency with Microsoft Office, and able to type 35 wpm minimum.
Experience:
- One year of administrative experience preferred.
