We are currently working with a great non-profit organization in need of clerical support. This position provides 20 hours a week of administrative support to the Counseling & Community works department and then 20 hours providing front desk support for the Practice Management team. This position is Temp-Hire. To qualify, you must be fluent in Spanish. The schedule for this position is:
Front Desk
Monday, Tuesday, Wednesday, Friday - 8:30 AM-12:30 PM
Thursday - 11:30 AM-3:30 PM
CCW
Monday, Tuesday, Wednesday, Friday - 1:00 PM-5:00 PM
Thursday - 4:00-8:00 PM
Responsibilities
- Answer calls
- Greet and direct visitors
- Schedule appointments
- Provide Administrative support
- Prepare files
- Print flyers, invitations and registration forms for groups
- Fax confidential information
- Scan documents
- Review referrals
- Coordinate counseling room schedule with counselors
- Update employee handbook
- Receive donations and acknowledge donors
- Sort and distribute mail
- Many other duties
Education
Associates Degree in related field and minimum one year experience in office and/or medical setting. Equivalent amount of education and relevant experience will be considered.
Experience
- At least 1-2 years of recent office experience
- Bi-lingual/Bi-Cultural in Spanish is required

- Highly advanced administrative assistant and support skills
- Excellent organizational, time-management and multi-tasking skills with extraordinary attention to detail
- Familiarity with computers and general office equipment, including multi-line phone systems and Microsoft Office
- Ability to work well under pressure, exhibit a patient and calm demeanor with a demonstrated ability to assess and diffuse difficult situations
- Demonstrate ability with defining and enforcing clear boundaries
- Appreciation for community-based, social justice focused organizations.
