- High School Diploma or equivalent required; Associate’s Degree preferred.
- Knowledge of ADE business rules, reporting systems, and data collection requirements.
- Strong skills in mathematics, statistics, logical thinking, and organization.
- Proficiency with reports such as ADMS, ELLS, SPED, EOY, ROLL, YEE.
- Expertise in Synergy and ADE AzEDS systems.
- Understanding of relevant policies, regulations, and procedures.
- Experience in importing and exporting data between applications.
- Excellent customer service skills and effective communication abilities with staff, administrators, vendors, and external organizations.
- Ability to meet project deadlines, prioritize tasks, and manage multiple responsibilities.
- Capable of delivering training and professional development to employees.
Position Overview
The Student Data Specialist is responsible for setting up, maintaining, and supporting the district's student information system databases. The role includes training staff and ensuring the timely and accurate submission of federal and state student data reports.
Key Responsibilities
System Maintenance & Setup
- Oversee year-end office closeout procedures and perform system rollovers, calendar generation, and setup for the new school year.
- Stay current with state (ADE) and federal (US Department of Education) reporting requirement and ensure district compliance.
- Compile and manage data from various sources for integration into the student information systems (e.g., attendance, grading, scheduling, transcripts, demographic updates).
- Ensure accurate and timely data entry into the student information system.
Support & Training
- Attend training events hosted by ADE and vendors; train district staff on new updates and procedures.
- Provide targeted training to attendance clerks on using the student management system and AzEDS applications.
- Offer ongoing support to system users, particularly in the area of state reporting.
- Facilitate clear communication across the district to ensure consistent student reporting and data entry compliance.
- Develop and distribute user guides and training materials for district staff.
Data Reporting
- Ensure the district maximizes funding through accurate reporting of student counts (ADM) and support program data (e.g., Special Education, ELL, Title I).
- Generate data reports that support district goals, strategic planning, and service acquisition (e.g., grants management).
- Conduct monthly data audits to ensure accuracy between district and ADE systems.
- Ensure compliance with state and federal mandates for data reporting, attendance, and other regulatory requirements.
- Prepare and deliver regular and ad-hoc reports to meet district needs (e.g., attendance, discipline, budgeting, and assessment data).
- Creates data reports/files for Tech integration on Curriculum using SIS.
Record Management
- Archive district program records annually.
- Manage AzEDS reporting for out-of-district students.
- Maintain records of AzEDS transactions, including troubleshooting and corrections.
- Conduct manual and automated uploads of student data as needed.
- Monitor daily data uploads to ensure accuracy and resolve any system issues.
- Participate in relevant meetings and workshops to communicate student information system capabilities and district requirements.

This position operates in a typical office setting with the following physical demands: occasional lifting, pushing, or pulling, as well as periodic stooping, kneeling, and fine finger dexterity. Experience & Education
