What are the responsibilities and job description for the Resident Service Coordinator position at Apartment Services, Inc.?
The Resident Service Coordinator will oversee the service requests, resident satisfaction and communication between the Onsite teams. Assist the site supervisors in coordinating, assigning and following up with the repairs to promote teamwork and customer satisfaction. Reports to the Regional Property Manager.
Responsibilities and Duties: (included but not limited to)
- Reviews daily service request reports in Yardi.
- Ensure the service staff meets daily service request goals, responds to service request within 24 hours and reports any findings to management.
- Handles and assists in resolving any tenant complaints regarding the service department and/or contractors.
- Maintains open communication between the service and leasing staff to ensure successful teamwork.
- Reviews make ready board and ensures deadlines are being met, makes any necessary adjustments and notifies leasing and/or maintenance.
- Inspect the property, grounds, buildings, vacant apartments, amenities and curb appeal.
- Organizes, delegates, and oversees the schedules of service team along with the Service Supervisor.
- Works with the Management to oversee capital improvement projects.
- Inspect make ready units meet all company’s standards and goals.
- Documents, keep records, and informs the Management of all routine and emergency maintenance requirements on the property.
- Assists with obtaining Purchase orders (PO) for contractor work and supplies as needed by Management.
- Assists Service Supervisor with scheduling contractor repairs.
- Coordinate with site team and residents about the status of service request (parts on order, contractor repairs/replacements, etc.).
- Updates and follows up on non-routine service request with residents to ensure customer satisfaction.
- Maintains various maintenance data and spreadsheets.
- Attentive and cautious with regards to the overall security of the property, keeping all keys in your possession, not to be handed to unauthorized person, including contractors. Monitor the key box and key logs throughout the day to ensure all keys are accounted for at the end of each day.
- Performs other related duties as assigned.
Qualifications:
- Proficient with Microsoft Office or similar software
- Experience with Yardi Systems preferred.
- Excellent analytical and critical thinking skills.
- Ability to identify issues and determine repairs.
- Experience in Property Management preferred.
- Excellent attention to detail, multitasking and communication skills.
- Ability to write routine reports and correspondence.
Requirements:
- High school diploma or equivalent
- Minimum 2 years of customer service experience.
- Must be able to travel between multiple communities.
- Must be able to occasionally lift and/or move up to 25 pounds
- Valid Driver’s License, personal vehicle, clean driving records and insurance.
