Job Summary: We are seeking a detail-oriented and organized Accounting Assistant to join our finance team, with focus on accounts payable and purchasing. The ideal candidate will support our accounting department with various financial tasks and assist in managing purchasing activities to ensure efficient and cost-effective procurement of supplies and equipment.
Key Responsibilities:
Accounting Duties:
- Manage full-cycle accounts payable processes (invoice entry, coding, approvals, and payments)
- Reconcile vendor statements and resolve discrepancies in a timely manner
- Maintain accurate and organized AP records
- Assist with month-end closing tasks including AP accruals and reconciliations
- Communicate with vendors and internal departments regarding payment inquiries
- Process employee expense reports and corporate credit card reconciliations
- Assist the Accounting Manager with ad hoc projects and tasks as needed
- Support the accounting team with additional clerical or administrative duties
Purchasing Duties:
- Conduct vendor research and selection to enhance profitability.
- Maintain relationships with suppliers and vendors.
- Manage purchase orders and oversee shipping schedules.
- Monitor inventory levels and perform inventory management.
- Review and negotiate purchasing agreements with vendors.
- Process purchase orders, place orders with vendors, and track delivery timelines.
Qualifications:
- At least 1 year of QuickBooks experience.
- Proven experience in both accounting and purchasing roles.
- Associate or bachelor's degree in Accounting, Finance, or related field preferred.
- Proficiency in accounting software and Microsoft Office Suite.
- Strong analytical and problem-solving skills.
- Excellent communication and negotiation skills.
- Ability to work independently and as part of a team.
