SUMMARY:

The Service Support Coordinator Assistant (SSC) works in support of the Service Coordinator's (SC), Service Manager (SM), Service Project Manager (SPM), and Corporate Coordinating Manager (CCM). This position provides support to the Service Department staff to ensure the department meets their client service and scheduling goals in assisting with administrative support.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Essential functions/responsibilities include but are not limited to the following: Productivity, and Quality

  • Overall office responsibilities including answering phones in the Service Department office and directing calls to the appropriate personnel, or department.
  • Assisting service technicians as needed by issuing purchase order numbers, work order numbers, etc.
  • Utilize the Vista Work Order Module, and Microsoft Excel, to track and manage purchase orders
  • Track and manage return on un-needed or defective parts and receipt of credit for the return
  • File work order related documentation, as
  • Work on various projects under the direction of the CCM to further facilitate customer satisfaction, service technician support, overall department professionalism, and
  • Keep inventory of office supplies and reorder as necessary
    • Office supplies

  • Track technician meter calibrations and send out for calibration, as needed
  • Track Vista item inventory for assigned Division

Customer Contact

  • Gather customer information and direct to SC, as
  • Make decisions based on customer needs, desires, and expectations and on APCCO standards, not on personal preferences, style, or theory.

Financial

  • Purchase materials for service work orders
  • Issue purchase orders to vendors and keep track of orders to ensure their proper and timely delivery and accurate pricing.
  • Assist with receiving purchase orders in the purchasing

Misc.

  • Maintain a systematic and organized desk, which will allow other staff to seamlessly take over in the SSC's absence.
  • Follow through on commitments
  • Provides support to Service Department Staff
  • Keep break room supplies stocked daily
  • Report to work at the scheduled time and seldom be absent from
  • Complete work in a timely, accurate, and thorough manner and be conscientious about
  • Perform all other duties as requested by the Corporate Coordinating Manager
  • Support a positive team atmosphere by modeling and promoting teamwork, diversity, cooperation, communication, professionalism, and respectful mannerisms among all APCCO team members, and hold others accountable to do the same.
  • Participate in on-call rotation which includes opening work orders, dispatching, and customer communication.

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities

WORK ENVIRONMENT:

This job operates in a professional office environment and is in an open room with constant activity and interaction with cross-functional divisions, departments, and sections. This role routinely uses standard office equipment, such as computers, phone, photocopies, filing cabinets, fax machines and other equipment as needed.

  • Become fluent in creating and editing forms and all other APCCO computer programs and applications
  • Ability to operate general office equipment (Computer, printer, fax, copier, mailing center, etc.)

  • Ability to assist in maintaining a positive team environment by maintaining a positive attitude toward all APCCO team members, vendors, and customers

POSITION TYPE/EXPECTED HOURS OF WORK:

This is a full-time, in office, position. Days and hours are Monday through Friday _7_am to

_3:30 pm, however, based on the needs of the job, work hours may vary.

TRAVEL:

Travel is not expected for this position, based on the duties to service the needs of the customer(s).

QUALIFICATIONS, EDUCATION & EXPERIENCE REQUIRED:

  • High school diploma or general education degree (GED)
  • All APCCO employees who drive company owned vehicles or drive their own vehicle for company purposes:
    • Must read, understand, and follow the requirements of the APCCO Motor Vehicle Policy and Vehicle Maintenance Policy
    • Maintain a valid driver's license
    • Provide a clear DMV record that is insurable with our company vehicle insurance carrier, including no accidents, incidents, or DUI in the past 5 years (and updated annually)
    • Participate in company-sponsored programs to maintain or improve driver safety

PROFICIENT IN THE FOLLOWING:

  • Microsoft Office Programs
  • Typing with a minimum of 40 WPM
  • Data Enty with a minimum of 30 WPM
