Description:
The Document Controls Specialist III is responsible for executing document control (DC) processes to support document control objectives. This role is project-centric, with projects varying in size and scope.
Key Responsibilities:
- Verify documents and deliverables conform to project contract requirements, procedures, and company policy.
- Execute daily activities within the Document Management system.
- Ensure the latest approved revision of documents is available and used by project personnel.
- Control the issuance and release of documents, including drawings, parts, and specifications.
- Communicate with document originators and engineering personnel to resolve discrepancies and compile required changes.
- Work with contractors and suppliers to train, guide, and ensure document management objectives are met.
- Carry out project close-out activities and ensure accurate and quality handover to business partners.
- Identify opportunities to integrate effective workflow processes within document management.
- Train internal project team members and external contractors or suppliers.
- Reprioritize tasks as needed.
- Assist with other duties as assigned.
Skills and Qualifications:
- High School Diploma or GED.
- Four years of experience in document control/management in the oil and gas industry, preferably with an owner/operator or EPC organization.
- Quality or Lean Management certification (e.g., ISO-9001, Six Sigma, PMP).
- Aconex Accreditation - Professional Level.
- Proficiency in Microsoft Office applications (Word, Excel, Teams, Outlook) and other PC skills.
- In-depth experience with engineering documentation and procedural materials.
- Extensive knowledge of Oracle's Aconex Document Management System.
- Strong organizational, customer service, and time management skills.
- Ability to work in a fast-paced environment and multi-task.
- Ability to travel up to 15% of the time.
- Experience working in regulated environments (PHMSA, FERC, DOT, BESE, PSM).
Expectations:
- Strong attention to detail, completeness, and accuracy.
- Compliance with company procedures.
- Maintain close relationships with project team members.
- Audit contractors' and suppliers' document management activities to ensure adherence to project procedures.
- Demonstrate business acumen through exposure to accounting, financing, purchasing, and contracts.
