About the Job Responsibilities: The successful candidate will:
· Answer all telephone calls, screen and direct calls to appropriate personnel. Accurately take and relay messages
· Cheerfully greet all visitors in a professional manner, announce and direct to the proper location
· Communicate effectively with all colleagues, vendors, clients and guests
· Accept and sign for all deliveries and ensure proper routing
· Prepare courier documents and other overnight mail
· Make deliveries 2-3 times per week using company vehicle and occasionally personal vehicle, mileage reimbursement available
· Open and date stamp Accounting Department mail; scan invoices to AVID, distribute all other incoming mail
· Assist in getting digital bank statements to proper Accountants
· Assist accounting with calls, filing, address changes, mailings as needed
· Fax documents as required
· Prepare necessary letters and documents
· Lend administrative support as needed
· Schedule all conference room meetings
· Order food, beverage, etc. for client meetings and office functions
· Assist CEO and Office Manager with typing, e-mail, scheduling, setting up meetings, appointments for CEO, and phone work as requested
· Update user addresses on copiers, provide tech support when needed
· Maintain office roster and mailboxes for all employees
· Track “in/out” of office personnel as required
· Order office supplies and printer supplies
· Maintain and add postage to postage meter and meter all mail
· E-Filing and paper filing as required
· Keep reception area, conference rooms, and kitchen/coffee bar filled, neat and clean; presentable to guests at ALL times
· Perform company deliveries and pick-ups as needed
· Work on special projects as assigned
· Promote company community service projects and team building projects

EDUCATION AND/OR EXPERIENCE:
High School Diploma/GED required. Training or equivalent combination of education and experience is considered. Experience in real estate is a plus as is being a Notary Public. A valid North Carolina Driver’s License and a clean driving record is required.
LANGUAGE SKILLS
Ability to read and to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations
CERTIFICATES, LICENSES, REGISTRATIONS
None - Notary a plus
OTHER SKILLS and ABILITIES
Basic knowledge of Microsoft Office, including Outlook, Word, Excel and Power Point (intermediate level), 55 wpm typing speed. Must have exceptional interpersonal skills and excellent business and telephone etiquette as well as be articulate and courteous, well presented and approachable. Must maintain professional decorum and business attire

COMMENTS Employee needs to have the ability to work independently and have a proactive approach toward implementing office procedures and systems. Must be able to organize individual work flow, as well as assist in the work flow of Supervisor upon request. Accuracy is required in the generation of reports and correspondence; compliance with company policies and procedures is also a requirement. The ability to work effectively in a high-pressure office with a professional and positive attitude, the ability to adapt to changes in workload and job requirements and have problem-solving abilities are necessary attributes of this position. The position must be willing and able to set an example to all staff regarding work ethic, attitude, creativity and efficiency.
