SUMMARY DESCRPTION:
A Fleet Technical Administrator provides support to fleet managers and technicians in maintaining and repairing vehicles and equipment. They assist in coordinating maintenance schedules, tracking repairs and costs, managing inventory, and ensuring compliance with safety regulations. Additionally, they may assist in conducting inspections, troubleshooting technical issues, and maintaining accurate records for the fleet.
RESPONSIBILITIES
Comply with IMS and all relevant international rules and regulations;
Ensure all your duties in accordance with quality, health, safety, environmental and ethics policy;
Propose a continuous performance improvement plan which will be reported and reviewed on a periodical basis.
Support the superintendent for services and repair requirements and ensure follow up.
Maintain vessel archives and ensure necessary backup routines;
Update records for the Weekly Fleet Operations Meeting;
Prepare administrative extract of the performance statistics (Operating Cost, Off Hire, SDRs, other KPIs);
Dispatch certificates and assist vessel with records update in TOUCH;
Assist in planning, execution and verification of surveys;
Dispatch Class status report to vessel and highlight COC status where applicable;
Assist in validation of certification and Class documentation of assigned vessels.
Create purchase orders as requested;
Handle and manage all problematic invoices.
Prepare and distribute all fleet summary reports requested by management;
Assist fleet with vessel Data collection on specific topics and prepare a report:
Update SVI records and assist superintendent in follow up as required.
Supervise arrangements of trainings courses for the superintendents and keep records;
Assist with Dry Dock preparation with SI;
Broadcast vessel general information and fleet changes to relevant department
Coordinate meetings to evaluate experience feedbacks and service letters and distribute documentation as assigned.
Assist in organizing travel arrangement for fleet staff in accordance with company policy;
QUALIFICATIONS
Maritime environment preferred
ADDITIONAL KNOWLEDGE, SKILLS AND ABILITIES
Competent with various software, such as Word, Excel, PowerPoint etc
Adequate qualifications in line with industry standards.
Rigor and method;
