We are seeking a detail- oriented and organized Administrative Assistant to support our team.
Job Summary:
The Assistant Administrative plays a key role in ensuring the smooth day-to-day operations of the firm.
This position supports the firm's Tax team with clerical tasks, scheduling, client communication, and maintaining organized records. The ideal candidate will be proactive, professional, trustworthy and able to multitask effectively in a fast-paced environment.
Key Responsibilities:
Clerical Support: Assist with general office duties, including answering phones, responding to emails, and greeting clients.
Data Entry: Input and manage client data, financial records, and other important documents.
Scheduling: Coordinate appointments and meetings for accountants and licensed professionals.
Document Management: Maintain an organized filing system for physical and electronic
records, including tax forms, financial reports, and correspondence.
Client Communication: Serve as a liaison between clients and accountants by handling inquiries, following up on documents, and ensuring all client needs are met.
Billing and Invoicing: Assist with preparing and sending invoices to clients, following up on
outstanding payments, and updating billing records.
Office Coordination: Order office supplies, maintain office equipment, and ensure the office
environment is professional and organized.
Project Assistance: Help with special projects, including preparing reports, organizing client files, and assisting during tax season or audit preparation.
Qualifications:
Education: High school diploma or equivalent required; Associate Degree or business school
coursework preferred.
Experience: Previous experience in an administrative or office support role, ideally in an
accounting, tax or financial services setting.
Skills:
o Proficient in Microsoft Office Suite (Word, Excel, Outlook).
o Excellent organizational skills and attention to detail.
o Strong written and verbal communication skills.
o Ability to multitask and prioritize tasks in a fast-paced environment.
o Familiarity with accounting software (e.g., QuickBooks, Xero) is a plus.
o Professional demeanor and strong client-service orientation.
o Proficient in Tax Software

Pay: $18.00 - $20.00 per hour
