The Accounting Associate is responsible for managing the company’s financial transactions related to vendor payments. This includes processing invoices, verifying purchase orders, reconciling discrepancies, preparing payments, and maintaining accurate records. The role ensures timely and accurate payments to suppliers while adhering to company policies and procedures.
Key Responsibilities :
Expense Report Management : Receive and verify expense reports, reconciling financial reports with account balances and other office records.Accounts Payable Processing : Enter all Accounts Payable invoices, verify them against purchase orders, and input data into IFS system, creating necessary accounting reports.Payment Processing : Facilitate vendor payments, including verification of federal ID numbers, reviewing purchase orders, and resolving any payment discrepancies.Reconciliation : Ensure outstanding obligations are credited upon payment, identify discount opportunities, and issue purchase order amendments or stop-payment orders as necessary.Monthly Reconciliation : Assist with the reconciliation of monthly statements and accounting records, ensuring accuracy and completeness.Sales Tax Reporting : Calculate and report sales tax based on paid invoices.CRM Management : Process all CRM notifications, ensuring prompt responses to internal and external inquiries and notifications.Subcontractor Insurance Tracking : Collect and maintain updated Certificates of Insurance for subcontractors.Accounts Receivable Management : Maintain the integrity of the Accounts Receivable Aging report, including customer setups, credit limits, credit holds, and cash applications.Cash Application Reconciliation : Reconcile any cash application discrepancies with customers.Daily Transactions : Process daily bank deposits, credit card transactions, and cash applications.Customer Collections : Monitor customer accounts, ensuring prompt payments through statement management and daily collections. Coordinate with external collection agencies as necessary.Customer Statements : Produce and mail monthly customer statements.Tax Compliance : Maintain valid FL Resale Certificates for all customers doing business in FloridaFixed Asset Management : Gather invoices, prepare fixed asset sheets, print Asset ID labels, and distribute them to the appropriate department for asset tracking. Maintain the expensed asset spreadsheet.Month-End Reporting : Prepare end-of-month reports and reconcile the general ledger for the 2010 account and Accounts Payable. File reports in the designated month-end folder.Qualifications :
Bachelor’s degree in Accounting, Finance, or related field, or equivalent work experience.Proven experience in Accounts Payable, Accounts Receivable, and general accounting functions.Familiarity with accounting software (e.g., IFS or similar systems) and proficiency in Microsoft Office, particularly Excel.EEO / AA Employer / Vet / Disabled.
