Position Summary :
We are seeking a highly detail-oriented and organized Accounts Payable / Accounts Receivable Clerk to join our team. This essential role is responsible for ensuring the accurate and timely execution of accounts payable and receivable processes. The ideal candidate should have prior experience in a general contracting company, with a strong understanding of AIA Billing and Lien Waivers. Proficiency in Sage Software is a must have.
Key Responsibilities :
Accounts Payable :
Process and code invoices for payment in the accounting software system.
Ensure accurate coding of invoices to the correct GL account and job number.
Electronically route invoices for approval to department heads.
Verify invoice accuracy and compliance with sales and use tax requirements.
Process weekly check runs, including printing and distributing checks.
Maintain organized files, including W-9s and credit card records.
Accounts Receivable :
Perform invoicing and manage accounts receivable processes.
Track and process payments while ensuring timely follow-ups.
Specialized Tasks :
Manage AIA Billing processes and ensure compliance with industry standards.
Handle Lien Waivers and related documentation.
Reconcile credit card payments and manage processing.
General Office Support :
Assist with payroll data entry and reporting accuracy.
Perform material management, purchasing, and tracking duties.
Provide support to project coordinators, human resources, and other office staff as needed.
Conduct website research projects and provide general administrative support.
Vendor and Customer Relations :
Maintain strong vendor relationships by resolving invoice or payment discrepancies promptly.
Communicate effectively with internal teams, vendors, and customers.
Required Skills and Qualifications :
Experience : Minimum of 2 years in a similar role, with required experience working in a general contracting company.
Software Proficiency : Experience with Sage Software. Experience with Great Plains or Timberline is acceptable.
Knowledge : A solid understanding of AIA Billing, Lien Waivers, and construction terminology is essential.
Technical Skills : Proficiency in Microsoft Excel, Word, Adobe, and PowerPoint.
Interpersonal Skills : Excellent communication, organizational, and time-management abilities.
Other : Strong attention to detail, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
