The Bilingual Administrative Assistant provides comprehensive administrative support with a strong focus on accounting and payroll functions. This role requires excellent organizational skills, attention to detail, and proficiency in both English and Spanish. The ideal candidate will have experience in accounting and payroll processing, as well as general administrative duties.
Essential Duties and Responsibilities :
Provide general administrative support, including answering phones, managing correspondence, scheduling appointments, and maintaining office supplies.
Process accounts payable and accounts receivable, including data entry, invoice processing, and reconciliation.
Assist with payroll processing, including data entry, timekeeping, and generating payroll reports.
Maintain accurate financial records and documentation.
Prepare and distribute financial reports as needed.
Assist with budget preparation and monitoring.
Communicate effectively with employees, vendors, and clients in both English and Spanish.
Translate documents and communications as needed.
Manage and maintain office filing systems, both physical and electronic.
Assist with special projects and events as assigned.
Ensure compliance with company policies and procedures.
Maintain confidentiality of sensitive information.
Perform other related duties as assigned.
Qualifications :
High school diploma or equivalent required; Associate's degree in Business Administration or a related field preferred.
2 years of experience in an administrative role with a focus on accounting and payroll.
Fluency in both English and Spanish (written and spoken) is required.
Strong understanding of basic accounting principles and practices.
Experience with payroll processing software and systems.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational, time management, and prioritization skills.
Strong attention to detail and accuracy.
Ability to work independently and as part of a team.
Excellent communication and interpersonal skills.
Ability to maintain confidentiality.
