Our client is seeking a highly organized and detail-oriented Billing Clerk to manage their billing processes and some payroll administration. This position requires strong management skills, advanced Excel proficiency, and a thorough understanding of accounting principles. The ideal candidate will be a self-starter with excellent communication skills and the ability to work independently. Commuting to Ventura may be required on occasion when needed.
Responsibilities :
Billing : Generate and distribute invoices to clients, ensuring accuracy and timeliness. Manage accounts receivable, including tracking payments and following up on overdue accounts. Reconcile billing discrepancies and resolve customer inquiries. Prepare and analyze billing reports using advanced Excel functions (e.g., pivot tables, VLOOKUP, complex formulas). Implement and improve billing processes to enhance efficiency.
Payroll : Process bi-weekly / monthly payroll, including calculating wages, deductions, and taxes. Maintain accurate payroll records and ensure compliance with all applicable regulations. Manage employee time and attendance data. Prepare and submit payroll tax filings. Respond to employee inquiries regarding payroll.
Management : Supervise and train junior staff members in billing and payroll procedures. Oversee the workflow of the billing and payroll department, ensuring efficient operations. Identify and implement process improvements to streamline billing and payroll tasks. Collaborate with other departments to resolve issues and ensure smooth communication.
Excel : Utilize advanced Excel functions to manage and analyze large datasets related to billing and payroll. Create and maintain spreadsheets for tracking key metrics and generating reports. Automate data entry and reporting processes using Excel macros or other tools.
Qualifications : Associate's degree in Accounting, Business Administration, or a related field; Bachelor's degree preferred. Proven experience in billing and payroll administration, including supervisory or management experience. Advanced proficiency in Microsoft Excel, including experience with complex formulas, pivot tables, macros, and data analysis. Please provide specific examples of your Excel experience in your application. Strong understanding of accounting principles and payroll regulations. Excellent organizational, time-management, and problem-solving skills. Ability to work independently and as part of a team. Excellent communication and interpersonal skills. Experience with payroll software (e.g., ADP, Paychex) is a plus.
