Seal Beach, CA : This position is 100% in-office position and they are seeking to hire an Operational Administrative Coordinator. If you do not have all of the skills listed below, that is ok they will train in areas as long as you are good with Excel, polished and professional, good with time sensitive items, able to follow direction, self-managed, and flexible. Intangibles are key to this role.
Responsibilities :
- Plan Document Management
o Ensure the Latest & Greatest plans (Architectural, Structural, Engineering) are uploaded in the internal Q Drive Plan files as well as Online Storage system for Consultant & Trade Partner access.
o Ensure most up to date plan set hard copies are ordered and sent to field Construction Managers.
o Ensure most up to date plan sets are received by Purchasing Dept by sending an email to the team alerting that new plans have been uploaded with a link to said plans.
o Aide in transferring Plans from current Sharepointe system to new BuildTopia Plan Storage center.
o Ensure Plan / Permit tracking spreadsheet (Excel) is updated daily / weekly with accurate information, including all PC / Permit numbers and submittal, resubmittal & approval dates.
o Scan in and upload all permit copies to appropriate files and distribute copies to field. Ensure all receipts are also scanned and saved in the files.
o Request updated trackers from Fire Sprinkler and Solar consultants and add information to our main tracker
o Request necessary items from Trade partners to acquire encroachment permit, inclusive of city / county specific insurance, business license and authorization letter.
o Check requests
o Complete check request forms as needed and send through docusign for appropriate approvals. Save all documents and back-up in project files.
o Request Municipal Bonds for multiple projects and aide in tracking if applicable.
o For county bonds, go to registrar office in Norwalk to have stamped / signed off for approval
o Exoneration – work with multiple agencies to request bond exoneration and acquire punch lists and necessary items for inspection walks to ensure bond release.
o Complete Building Permit applications, Construction Water Meter applications, and misc. submittal applications & documents as needed.
o Upload documents for online submittals as needed.
o Request city business licenses / renewals and pay fees as needed.
o Initiate Consultant Contracts
o Reduce contract budgets in JDE accounting system as needed.
o Process buckslips and change order requests via Docusign once amount approved by supervisor.
o Act as liaison between Consultant and Accounting Department to ensure timely payment and accurate billing.
o Prepare and Route Sequence sheets (Excel) and various other items through docusign for approvals.
o Prepare Conditions of Approval Tracking Spreadsheets (Excel)
o Pick-up and Delivery of Plans / Documents as needed.
o Pay taxes in Downtown LA as needed.
o Pay fees to various municipalities at various locations as needed
o Ship out old plans & closeout project field documents to storage as necessary
o Notary Public – Willingness to get Notary Licensing for departmental use.
