We are seeking an experienced and detail-oriented Payroll Administrator to oversee and execute payroll processes for our organization. The Payroll Administrator will be responsible for ensuring accurate and timely compensation for employees, compliance with payroll laws, and maintaining records related to payroll activities. This role requires exceptional organizational skills, a strong understanding of payroll systems, and the ability to manage sensitive information with confidentiality.
Key Responsibilities :
Process payroll for all employees, including salaried, hourly, and contract workers, in accordance with company policies and deadlines.
Ensure accurate calculation of wages, overtime, bonuses, and other compensation elements.Process deductions such as taxes, benefits, and garnishments.Compliance and Reporting :Ensure compliance with federal, state, and local payroll regulations.
Prepare and file payroll tax reports (e.g., Form 941, W-2, W-3) as required.Assist with internal and external payroll audits by providing necessary documentation and reports.Employee Support :Respond promptly to employee inquiries regarding payroll, deductions, and tax information.
Address and resolve discrepancies related to payroll, such as underpayments or overpayments.Records and Documentation :Maintain accurate and up-to-date payroll records, including employee information, tax forms, and timekeeping data.
Ensure proper handling and storage of confidential payroll information.System Maintenance and Improvement :Manage payroll software and ensure its functionality aligns with organizational needs.
Identify and recommend process improvements to streamline payroll operations.Collaborate with HR and finance teams to ensure alignment of payroll with employee benefits and company policies.End-of-Year Activities :Prepare and distribute W-2 forms and other year-end tax documents.
Assist in year-end reporting and reconciliation processes.Qualifications :
Education :High school diploma or equivalent required; associate’s or bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
Experience :Minimum of [3 years] of experience in payroll administration or a related role.
Proficiency with payroll systems (e.g., ADP, Paychex, Workday) and timekeeping software.Strong knowledge of payroll laws, tax regulations, and compliance requirements.Skills :Exceptional attention to detail and accuracy in handling financial data.
Excellent organizational and time-management skills to meet tight deadlines.Strong communication and interpersonal skills for collaborating with employees and management.Proficiency in Microsoft Office Suite, particularly Excel (e.g., formulas, pivot tables).Certifications (Preferred) :Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is highly desirable
