Operations Manager, Cash Application

Job Summary
Reporting to the CEO, the Cash Applications Manager oversees the overall policies, objectives, and initiatives for the Cash Applications Team. They will review, design, and implement processes surrounding payment posting, contractual adjustments, and other financial analyses to ensure successful revenue cycle management. The Cash Applications Manager will mentor staff, provide coaching, direction, instruction, guidance and build team spirit. This role is responsible for coordinating coverage, implementing new ideas and providing training to new employees or process training for existing employees.
Key Accountabilities
1) Develops, Implements, and Serves as the ‘Champion’ for Best Practices for the Cash Applications Team.
2) Must be able to analyze and interpret EOBs at an expert level.
3) As a hands-on manager, posts incoming electronic and paper payments to correct patient accounts.
4) Ensures that all payment batches (electronic and manual payments) are posted daily and are reconciled to deposit amounts.
5) Ensures that all related contractual adjustments and denial codes are properly posted to accounts.
6) Posts payments so that payor allowables, patient co-pays/co-insurance amounts, deductible amounts are shown on the account for reference by others working accounts.
7) As EOBs are posted, the proper remaining amount due from insurance and the patient should be observed on the account.
8) Makes sure that all errors on payment reports are corrected.
9) Maintains accurate daily batch logs of all posted items.
10) Posts all denials and zero-pays to the patient accounts.
11) Scans all payment batches and denials to patient accounts.
12) Assists with the month-end close as needed.
13) Evaluates the effectiveness of the cash applications work functions, implements changes to policies, procedures, and systems as appropriate.
14) Implements management practices that are motivating and mentoring.
15) Ensures compliance with state and federal laws and regulations.
16) Maintains thorough understanding of health insurance and government programs.
17) Facilitates the identification of variances and solutions by team members related to delays in posting.
18) Completes Q/A reviews to identify department training needs for system education, industry updates and changes in cash applications processes and protocols.
19) Oversee daily posting duties of the Cash Applications Team.
20) Ensures all Clients balance 100% to Batch Logs and Software.
21) Assists leaders during End of Month to ensure all clients are current, posted and balanced on the batch logs.
22) Comply with all current government regulations and professional standards, including HIPAA, the fair debt collection act and internal compliance plans.
23) Remains professional and dedicated to excellent customer service while communicating with patients, payers, clients, vendors, and employees.
24) Works with other Aptus department on crossover issues.
25) Other duties as assigned.
Qualifications for the Position
1. Five years of experience in a HEALTHCARE billing setting required. Must have experience with managing employees responsible for cash application.
2. Physician practice level cash applications experience.
4. Experience with various practice management software.
5. Able to travel as needed.
6. Proficient in Microsoft Word, Outlook, Teams, and Excel.
7. Presentation skills desirable.
8. Excellent written and verbal communication skills.
