We are looking for a dedicated and experienced Front Office Lead to join our thriving dermatology practice. As the first point of contact for patients, visitors, and vendors, you will play a crucial role in providing excellent customer service and ensuring smooth operations in our front office. This position offers the opportunity to lead a team of receptionists and front office personnel and contribute to the overall success of our clinic.
ESSENTIAL FUNCTIONS
- Oversee and guide a team of front office staff, ensuring they provide exceptional customer service and maintain professionalism at all times.
- Trains new front office staff members and provides ongoing coaching to improve performance.
- Greets patients and visitors warmly and ensures a positive experience from check-in to check-out.
- Address patient concerns and resolve any issues that arise promptly and effectively.
- Manages the scheduling of patient appointments, ensuring accuracy and efficiency.
- Registers new patients and updates existing patient demographics by ensuring the collection of all necessary documentation for treatment and accurately collects and applies payments for services and products.
- Answers the phone while maintaining a polite, consistent manner using proper telephone etiquette; directs calls as necessary.
- Facilitates patient flow by notifying the clinical staff of patient arrival, being aware of delays, communicating with patients and clinical staff, and checking patients in and out for their appointments.
- Keeps office supplies adequately stocked by anticipating inventory needs and monitoring office equipment.
- Manage cash deposits and reconcile daily batch reports.
- Learns new products and maintains an accurate inventory of all items.
- Verifies patient health benefits with approved healthcare companies.
- Sends out and receives medical records and referrals for patient care.
- Keeps reception area clean and organized.
- Works in a team environment to accomplish everyday tasks in a collegial manner.
- Other duties as assigned.

POSITION TYPE AND EXPECTED HOURS OF WORK
- Full-Time
- Monday – Friday
- 6:45 am-5 pm shifts may vary, some weekend hours as needed.
