Summary
The Executive Assistant will provide daily support to the CEO. She/he will be primarily responsible for managing the CEO’s calendar, schedule, setting appointments, arranging travel, answering phones, and screening calls when needed. The Executive Administrative Assistant will coordinate and manage events for the CEO, act and take on various projects as deemed by the CEO. She/he must take pride and enjoy being the essential and trusted partner to the CEO. The Executive Administrative Assistant is expected to always maintain confidentiality.
Responsibilities
- Arranges travel and meetings for the CEO by developing itineraries and agendas. Including, but not limited to booking all related transportation, lodging, and meeting venue accommodations.
- Maintains appointment schedule by planning and scheduling phone, video, and in-person meetings and conferences.
- Supports the CEO in household management, personal, and administrative duties on an as needed basis.
- Opens, sorts, and distributes all incoming correspondences.
- Maintains office supplies inventory by checking stock to determined inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- All other necessary duties as assigned by the CEO.
Qualifications
- Proven experience as an Executive Administrative Assistant or similar role in the hospitality industry.
- Strong organizational skills with attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Experience in event planning is highly desirable.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
Requirements
- High School Diploma or equivalent.
- 2-5 years’ experience in administrative/executive support preferred.
- Must have strong computer skills: proficient with Microsoft Office suites including Outlook, Excel, Word, and PowerPoint.
- Strong knowledge of iPhone and iPad.
- Ability to take initiative.
- Experience in making travel arrangements.
- Ability to multitask, be highly organized and use logic and reasoning to identify solutions to problems.
- Excellent oral, written, listening, and presentation skills with the ability to convey complex information to a broad audience.
- Proven people skills required. Must have the ability to work with others while effectively managing internal pressures.
- Ability to lift 15 lbs.
Job Type: Part-time
Pay: From $22.00 per hour
Expected hours: 20 – 25 per week
