Construction Field Service Coordinator

The basic job responsibility involves scheduling all services for the technical staff and generating all necessary service orders. Additionally, it requires excellent customer service and coordination skills. Computer entry for service orders, purchase orders, and creating work orders is also a part of this responsibility. It is important to monitor all maintenance contracts, renew them on time, and ensure that the renewal has been received. Writing new maintenance contracts for customers who are not a part of our service program is also a crucial aspect of this job. Routine maintenance is the lifeblood of our company, and it should be carried out diligently.

Your working hours will be from 7:00 am to 3:30 pm each day, which is the same time as the technical staff arrives. Your primary responsibility will be to assist the technicians in acquiring service reports and parts for their job assignments. You must ensure that the technical staff promptly leaves the shop for their assignment.

Your task is to schedule and generate service orders for the technical staff for maintenance, demand, or construction projects. You will also maintain the service office scheduling board to ensure work assignments for each technician are posted at least three days in advance of their individual service call date. Your job is to assign work to minimize travel and mileage expenses by combining the same town or area jobs.

Your next responsibility is to ensure technicians report their hours daily to you by phone if they are not returning to the shop. You will enter their time in their time card. Make sure that each technician calls in when complete with their primary work assignment. If the technician still has regular work hours available, assign them a secondary service call. If the secondary call leads to overtime, verify with the customer that it is OK.

You will meet briefly each morning with the company engineer, SCADA Sales manager, or SCADA install manager if they are available to go over service-related problems identified by the technicians while performing their job assignment. Your duty is to assist them in determining the proper method to fix the problem. Determine if parts are required to be fixed or repaired to complete their job assignment. If parts or equipment are required, have the technician provide you with a parts requisition with the complete part number, then order the parts.

Your next responsibility is to process received service reports turned in by the technicians. Your task is to review each service report for detail: work hours, parts used, motels and meal cost, and legibility. Return the service report to the technician to correct if you cannot read their handwriting. Compare the work hours on the time and mileage sheets attached to the service report with the time cards of the technicians performing the work. When complete, pass the service report to the engineer to review it before passing it to accounting.

If parts are required to complete a project, obtain cost estimates from various vendors before ordering the parts to facilitate price discounts. Coordinate delivery times and final parts cost and report this in the daily meeting with the engineer. Receive in and ship out parts for projects or returns for repairs as required.
