Job Summary
The Collection Administrator plays a critical role in managing all aspects of Accounts Receivable. This includes processing and monitoring payments, ensuring accurate recording and reconciliation of accounts, and maintaining the integrity of financial records. This role also involves reviewing accounts for disconnection and account change, ensuring compliance with established policies and procedures.
Principal Responsibilities
Research unidentified payments and apply them to the appropriate customer accounts.
Review and process bankruptcy notifications and final bill accounts. Issue updated letters with new account numbers for post-bankruptcy customers.
Process “Insufficient Funds” (NSF) checks from various banks and payment platforms.
Research high credits balances on customer accounts to ensure payments are accurately posted. Contact customers to confirm overpayments and determine if refund is required.
Assist in reconciling cash discrepancies between banks deposits and incoming payment files posted to customer accounts. Report differences to Accounting team.
Follow up with various payment vendors to resolve missing or out of balance payment files.
Refund payments posted to invalid cash accounts when they remain unidentifiable.
Void third-party refund payments and escheat funds to the appropriate States (CT, MA & NH).
Generate customer letters advising of updates to payment information for pay-by-phone or on-line payments that fail to post automatically.
Post cash payments and miscellaneous checks that cannot be processed through the lockbox system.
Research missing payments and follow-up with customers or representatives with resolution details.
Handle return mail and manage security deposit accounts.
Acts as Liaison for Government Account inquiries.
Handle Collection Inquiries.
Address collection inquiries and provide back up support for the Collection queue.
Perform other duties as assigned or required.
Preferred Requirements
- High-volume residential and / or commercial collections experience preferred.
- SAP, Microsoft Word, Outlook, Strong Excel, Pivots, and Sort & Filter Data Meticulous, initiative-taker with a strong work ethic and a high degree of professionalism with customers and fellow coworkers.
- Knowledge of bankruptcy laws.
- Knowledge of Account Receivable and Account Payable processes.
- Communication proficient with good email writing skills.
- Strong organizational and analytical skills.
- Must be able to work independently based on periodic guidance and direction.
- Must be dependable, assertive, and motivated.
- Must have effective time management skills with the ability to work on multiple tasks at a given time.

Salary
Job is classified as a non-exempt position with a starting hourly rate range of $23.53 per hour.
Hours for this role are 9 : 00AM to 5 : 30PM, Monday through Friday. During training period, hours may be slightly different.
Must be able to work full time with availability for overtime on infrequent occasions.
After 3 months of successful employment, this role will be eligible for a hybrid schedule (3 days office / 2 days remote).
