Job Summary:

This position is a full-time onsite receptionist position responsible for managing the front desk and all associated administrative responsibilities as detailed below.  

Responsibilities:
  • Responsible for visitor management, requiring interaction with both internal and external executives and assistants, government regulatory agencies, vendors, and contractors to coordinate meetings and activities.
  • Answering and fielding phone calls.
  • Responsible for conference room calendar management working with executive assistants, management, and staff to coordinate a variety of meetings and activities.
  • Screen mail, correspondence and phone calls and prioritize essential information for review.
  • Communicates and handles incoming and outgoing communications.
  • Assists in preparation of meetings, lunches, and presentations.
  • Reviews and summarizes miscellaneous reports and documents; prepares background documents as necessary; and performs spreadsheet data entry, as necessary.
  • Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.
  • Manages sensitive information with considerable tact and confidentiality.
  • Anticipates, actively listens and proactively identifies issues and seeks appropriate resources to resolve situations.
  • Handles travel arrangements (both domestic and international) and processes monthly expense reports for site management and others as assigned.
  • Works with Finance to manage office supply purchases including tracking expenses, processing purchase requests and orders, and reconciling as needed on a monthly basis.
  • Works with cleaning services to ensure facilities are clean and adequately stocked.
  • Assists Human Resources with candidate scheduling, travel and employee engagement activities.
  • Assists in the execution of Confidentiality Agreements and maintains relevant document files.
  • Manage card access for employees and guests.

Qualifications: 

  •  Minimum of 3 years administrative support or office management experience.
  • Superior communication (written and verbal), organizational, time management and follow-up skills.
  • Demonstrated ability to work independently, take initiative and collaborate with others.
  • Must be a team player and be able to thrive in an environment where individual initiative, high energy, multi-tasking, and coping with change will be required.
  • Highly proficient in Microsoft Office software suite - Word, Excel, PowerPoint, Outlook.
  • Experience with Concur or expense system preferred.
  • Experienced in handling a wide range of administrative and executive support related tasks.
  • Must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a company organization.
  • Has the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.

The Company is required to provide a reasonable estimate of the salary range for this job in certain states and cities within the United States. Final determinations with respect to salary will take into account a number of factors, which may include, but not be limited to the primary work location and the chosen candidate’s relevant skills, experience, and education.  Expected hourly range: $23.00 to $28.00 USD
