The Assistant Property Manager works with a Property Manager and Team in the management of commercial office, retail and industrial properties. Work is in an office setting and requires on-site visits to managed properties and meetings with tenants. Candidates should be self-motivated and detail oriented. Job Description and Responsibilities
- Monitor tenant activities for compliance with lease terms and applicable security requirements; promulgate and enforce building operating regulations, including use of parking and other common areas.
- Determine specific vendor requirements in assigned functional areas.
- Receive and take action on all complaints and service requests from tenants in assigned buildings.
- Review daily security reports and initiate follow-up actions as appropriate.
- Prepare tenant move-in/move-out notices.
- Communicate various correspondence to tenants and vendors as needed.
- Review monthly reports of overdue accounts and assist in collecting overdue payments from tenants.
- Assist in preparation of materials (bids, inspections, project work) and developing annual operating budgets for assigned buildings.
- Manage a wide variety of special projects associated with renovation and remodeling of tenant spaces, particularly with respect to new tenant move-ins.
- Perform such other duties as directed.
- Conduct periodic inspections of assigned buildings and associated grounds, visit each building regularly; initiate action to correct janitorial and maintenance deficiencies noted during these inspections.
- Plan and support tenant appreciation activities.
- Assist in data collection, development, communication and monitoring of property budgets on a timely basis in a manner that supports the financial expectations of the client and allows the property to remain within budget.
- Review and approve all vendor invoices for accuracy and in compliance with the vendor contract and the client's accounting procedures.
- Ensure new vendor forms and appropriate insurance is on file for all vendors.
- Ensure tenant insurance is compliant with their lease and valid certificates are on file at all times.
- Assist manager in preparing timely and accurate monthly variance reports and provide other financial reporting information as required by client. Reporting requirements should be completed in a timely manner (monthly, quarterly, etc.).
- Ensure by example and direction that all team members and vendors demonstrate AQUILA Management Services commitment to superior service.
- Ability to establish strong interpersonal relations with team members, tenants and vendors.
- Work must be timely and accurate; ability to work independently but also use good judgement to make manager and team aware of potential issues.

Job Qualifications
- Education: High School Diploma required; Bachelor or Associate Degree preferred.
- Technical/Special Skills: Familiarity with computer software such as, Angus, Microsoft Word, Excel and accounting software; basic understanding of cost accounting; excellent communication skills.
- Experience: 2-4 years real estate or property management related experience.
- In possession of or obtain a Texas Real Estate License within 6 months of start date.
- Certifications or Licenses: CPM (courses or certificate desirable); RPA (courses or certificate desirable)
Work Schedule
This is a full-time position. AQUILA’s normal hours of operation are Monday through Friday from 8:00am to 5:00pm. The hours will be worked in the AQUILA office located in downtown Austin. Computer and software will be provided.
