Aquinas Consulting has an immediate need to fill a Part-Time Finance Administrative Assistant job at a world class leader in consumer products manufacturing, with corporate HQ located in Chicago.  This is a remote opportunity with the opportunity to build your own schedule as long as it is communicated in advance.  Average hours are 10-15 per week, but the schedule is busiest in April, May, June and November. Additional hours may be available.

Finance Administrative Assistant Job responsibilities :

  • Will serve as a liaison between insurance broker and business unit to ensure timely turnaround for insurance certificates and will assist with special certificate requests (no special knowledge required).
  • Will process all invoices for the department (total number of invoices would be estimated to be 50 or less annually).  Will learn internal process for handling requests and will follow up on questions and ensure allocations are correctly finalized within the finance team.
  • Will review and ensure payment of all invoices globally for insurance and will become involved in significant outstanding payments by working with the local internal teams to ensure payment.
  • Will have significant involvement in the annual budget process for risk management, including collecting exposure data, ensuring spreadsheet accuracy, and assisting in developing the annual budget.  Finance background not necessary—but good Excel skills and logic required.
  • Will provide other administrative duties and support as required.
  • Any exposure to use of AI as a way of improving efficiency is helpful but not required.

Qualifications :

  • Bachelors degree or Associates plus extra experience is desired.
  • 5 years of administrative experience with at least 3 years of experience supporting financial operations is required.  8 years of experience is ideal.
  • Must be able to work at least some time during normal business hours for the Chicago facility.
  • Must have excellent computer skills including mastery of MS Office, some experience with financial software and more.  Some exposure to AI software is a plus.
  • Team player able to work with diverse internal and external teams to gather budget information.
  • Top written and verbal communication skills.
