Job Overview
This position will work side-by-side with Upper Management performing the Company’s critical administrative office duties, including, but not limited to, customer service, human resources, Accounts Receivable/Accounts Payable (AR/AP), and various sales-related tasks.
Essential Duties and Responsibilities
General
· Serves as Company ‘gatekeeper’ - answers the main telephone, receives guests and office deliveries
· Maintains general cleanliness of office, orders office and janitorial supplies, as necessary
· Manages Outside Services, including janitorial, landscaping, window cleaning, etc.
· Handles all Company technology procurement and works with outside IT Services vendor to resolve technology-related issues
· Organizes and maintains the Company’s shared information drives (e.g., G Drive)
· Coordinates all employee events and morale boosters
· Performs other ad hoc office management and administrative duties (e.g., works with the Company’s insurance agent to distribute Certificates of Insurance (COI)), as directed
Customer Service
· Processes incoming customer Purchase Orders
· Handles new customer applications, credit references, and ACH account information (i.e., customer onboarding)
· Works with existing customers to manage most up-to-date contact and financial information
· Handles customer Work-in-Process (WIP) inquiries
Human Resources
· Processes bi-weekly and certified payroll
· Maintains PTO Calendar and Tracking spreadsheet, frequently reconciling with the Company’s payroll provider’s PTO accruals
· Oversees employee benefit accounts, enrollments, claims and renewals
· Organizes and maintains employee physical/electronic files
· Works with Director of Operations and Technical Sales and Shop Foreman to organize employee hiring
· Manages Company messaging system (i.e., Slack)
· Performs other ad hoc HR administrative duties (e.g., prepares annual comp reviews), as directed
Accounts Receivable/Accounts Payable (AR/AP)
· Handles all customer invoicing, including customer portal submission
· Supports Accounting Manager with collections effort and the processing of invoice payments
· Pays vendor invoices and company bills, as directed
Sales Support
· Gathers info for bidding and estimating from inbound RFQ calls and website inquiries
· Helps maintain Company’s Excel-based Sales tools, including Quotation Tracking, WIP Report ‘Pipeline’ and ‘On Deck’ and The Arbonite CRM
· Updates website and social media accounts (e.g., LinkedIn) and assists with producing and distributing Company’s annual newsletter
· Organizes year-end ‘Customer Appreciation’ initiatives (e.g., swag or holiday cards)
· Performs other ad hoc sales-related administrative duties (e.g., produce QuickBooks report for annual customer segmentation exercise), as directed

Minimum Qualifications (Knowledge, Skills, and Abilities)
· Two- or four-year college degree preferred
· Five years of related experience or extensive relevant skills training
· Good oral and written communication skills
· Ability to work with technology, software and troubleshoot as necessary
· A positive, can-do attitude
