Position Description
This position ensures that supply levels are tracked, supplies replenished and ordered in a timely manner. Welcomes visitors and answers phones (ensuring fill-in as needed for front desk.)
Status Non Exempt
Job Relationships: This position reports to Director of Nursing. Communicates closely with nursing staff, clinic staff and therapy staff.
Duties and Responsibilities
- Responsible for inventory management and ordering of all supplies and nourishment orders for all Healthcare Center Med Rooms and supports as needed for Clinic.
- Maintains inventory of oxygen supply closet and completes monthly walk through with oxygen vendor.
- Responsible for receiving, storing, stocking and organizing all supplies and equipment.
- Serves as the receptionist in the Health Center by greeting all visitors, determining their identity and purpose in facility as appropriate, directs them to the appropriate destination and/or notifies staff members when appointments arrive.
- Answers phone calls, directing calls and responding to questions in a prompt, professional manner.
- Notifies appropriate staff upon arrival of new admissions, return from hospital and return from appointments.
- Receives in-coming mail and packages from postal service and UPS, sorts resident mail by courts/location, batches staff mail and delivers it to the appropriate location.
- Responsible for yearly inventory of all supplies in Strickland Place, Asbury Place and Arborview.
- Ensures rotation of stock and removal of expired items.
- Maintains inventory of resident supply closets.
- Inputs charges to ensure accurate recording of charges and timely billing of residents.
- Responsible for coding credit card charges each month in a timely manner.
- Assists residents, families, and visitors to have their needs met by communicating information to the appropriate resources or personally addressing the need if possible (i.e. providing information, supplies, transportation contact).
- Perform any other duties assigned.
Typical Physical Demands:
- Considerable ability to bend, squat, raise arms above the shoulders and lift 15-20lbs.
- Ability to move arms in all directions to put supplies shelves and in cabinets.
Medical Supply Coordinator Key Knowledge, Skills, and Abilities
- Ability to read and understand medical and drug terminology.
- Ability to perform numerical calculation.
- Considerable ability to organize and prioritize multiple tasks and meet deadlines.
- Considerable ability to deal tactfully with residents, families, visitors and staff.
- Considerable ability to use various communication systems such as telephone, pager, and alarm systems with courtesy and skill.
- Ability to work flexible hours to meet the needs of a 24-hour daily operation.
- Excellent human relation and verbal communication skills.
- Ability to protect confidentiality of sensitive resident information.
- Ability to perform mental functions, reading and withstand moderate amount of stress.

- Bilingual a plus but not required.
Minimum Education
High School Diploma or equivalent.
Minimum Experience
6 months to 1 year related work experience (supply management) preferred or experience in ordering and medical terminology.
