Performs reception and customer service related duties to ensure effective and efficient day-to-day operations. Answer phones and greet visitors and staff and other related messaging tasks. Responsibilities may include typing, word processing, data entry, filing, faxing and other related office duties. Operate postage meter and logs in cash receipts received at the Lomas office. Distributes mail to team members. Schedule Fed-X and UPS shipments. Maintain conference room schedules and publish associated calendars. Orders and maintains office supplies as needed. Maintain lobby security. A. Takes a leading role in ensuring excellent customer service, including answering phones and greeting visitors, job applicants, and staff. Coordinates the service of the fire extinguishers at the Lomas office locations annually and is backup for performing monthly inspections. Orders, tracks, calculates and distributes Sun Van books. Provides backup to the Office Coordinator on the badging and alarm procedures, along with fire drills at the Lomas West office. Provides backup to the Executive Assistant/Office Manager in attending and recording minutes for the ARCA Board of Directors meetings.
Must be service-oriented, a team player, flexible, able to handle multiple priorities and meet deadlines in a fast-paced environment. Must be able to respond to frequent interruptions including walk-in and telephone contacts in a courteous, professional, and confidential manner. Must be able to work independently and as part of a team.
Must have the ability to organize work, problem solve and handle multiple priorities. Must be able to work at a high rate of productivity, attend to detail and complete work assignments in an accurate and timely manner to meet deadlines.
High school diploma or equivalency required. Minimum of (2) two years’ office experience, including: reception work, use of multi-line telephones, computers and performing administrative office duties strongly preferred. Experience in not-for-profits and organizations providing services to persons with developmental disabilities preferred. Must have excellent telephone skills and experience with multiple phone lines. Must be service-oriented, a team player, able to handle multiple priorities in a fast paced environment. Must be able to respond to frequent interruptions and work with a variety of people and personalities in a professional and courteous manner. Must have the ability to develop and maintain effective working relationships with administrative staff, co-workers, persons served, community agencies, vendors and service providers. Must have strong office equipment experience and excellent typing and computer skills. Must be able to maintain a high degree of confidentiality of all documents, information and conversations. Must have the ability to communicate (verbally and in writing) in a clear and effective manner. Be able to work independently and as part of a team in a professional manner. Must be detail oriented and be able to meet deadlines. Must be able to perform tasks requiring lifting of up to 30 pounds. Requires valid NM driver’s license and good driving record.
