Administrative Assistant
THE POSITION: The Family Life Ministries (FLM) office is first and foremost ministry and mission oriented, with the mission of leading all souls to Christ. We are responsible for providing leadership and oversight for children, youth, and adult faith formation, including sacraments. The job includes caring for couples preparing for marriage, individuals desiring communion with the Church and ministering to grieving families during the loss of a loved one. The work of the Administrative Assistant consists in supporting each of the ministries with data management, communications, coordination, and scheduling. Currently, this position is part-time, not eligible for benefits.
ESSENTIAL DUTIES: Essential duties and responsibilities of the Administrative Assistant include the following:
- Maintain calendars/schedules
- Director of Family Life Ministry, appointments & meetings
- Marriage preparation meetings and events
- Clergy funeral calendar
- Coordination with Parish Scheduler/Calendar
- Faith Formation
- Oversee enrollment communication and data
- Communications, FlockNotes, SMS, etc.
- Statistics, records, maintaining electronic filing systems
- Coordinate and track VIRTUS, safe environment compliance
- Manage paperwork for volunteers
- Preparations for the Sacrament of Marriage
- Coordinate and maintain schedules for marriage preparations
- create files, schedules, and timetables
- monitor weekly each marriage file for progress
- communicate with couples, mentor couples, parish wedding coordinator
- maintain communications and assignments for the FOCCUS inventory, theology instruction and NFP instruction for each couple
- Conclude files for Marriage, Convalidation and Annulment
- Coordinate and maintain schedules for marriage preparations
- Funeral Ministry
- Coordinate, communicate all aspects of the funeral ministry
- schedule and coordinate – with priests, family, mortuary, musicians, sacristans, and hosts
- oversee host and family consultations
- oversee and coordinate AV techs, reception coordinators, church scheduler
- Coordinate, communicate all aspects of the funeral ministry
- Other duties as assigned
Qualifications
COMPETENCIES AND QUALIFICATIONS:
- High School Diploma or equivalent
- Experience supporting staff involved with Family Life Ministry environment, preferred
- Must be in the communion of the Catholic Church and intentionally living out the five precepts of the Church (CCC 2041-2043)
- Must refrain from promotion of, or the living out of, any conduct or lifestyle that would reflect discredit or disgrace on, or cause scandal in relationship to, the Archdiocese of Denver, or considered to be in contradiction with Catholic doctrine or morals
- Effective communications skills, verbal and written
- Proper telephone etiquette
- Superior organizational skills
- Must be able to easily multi-task
- Proficiency with Microsoft 365, especially Excel
- Creative skills with project management including ability to use or learn Monday.com and JotForm applications
Salary : $20 - $27
