Key Responsibilities
- Administrative Support: Provide comprehensive administrative support to the Events Director, including electronic filing, approval processes, event preparation (e.g., retreats, convocation, Steubenville of the Rockies, Mountain Madness), and oversight of specific projects such as contracts, insurance certificates, risk management forms, and volunteer documentation; perform additional duties as assigned.
- Event Coordination & Support: Support meetings and events by cross-training with event staff, assisting with basic audiovisual setup, and being available for night, weekend, and travel-based assignments, including occasional overnight stays.
- Design & Materials Preparation: Design and create brochures, flyers, registration materials, event booklets, folders, and nametags.
- Collaboration & Flexibility: Collaborate with event staff to develop versatile skills and adapt to shifting priorities, while maintaining efficiency under tight deadlines and in high-pressure environments.
What We’re Looking For
- Align with the values and mission of the Catholic Church in an Apostolic Age.
- High School Diploma or equivalent
- One – three years of general office experience.
- Meeting/Event planning experience preferred
- Professional demeanor with adherence to dress code; professional attire required during events.
- Strong attention to detail with excellent organizational, filing, and office management skills.
- Skilled in written and verbal communication, including grammar, proofreading, and document creation.
- Proven ability to manage multiple projects efficiently and accurately.
- Strong interpersonal skills; able to work effectively with diverse individuals and organizations.
- Proficient in Microsoft Office and capable of creating fillable forms in Adobe Acrobat and Word.
- Basic graphic design skills preferred.
- Exercises discretion, sound judgment, and maintain confidentiality under pressure.
- Valid driver’s license required.
