Part-time Parish Secretary
The part-time parish secretary is responsible for providing administrative support to the parish office, assisting in the smooth operation of day-to-day activities, and performing administrative tasks for the Pastor and other staff members as required. This is a part-time position (approximately 15 hours over 2 workdays). The job responsibilities include:
- Assisting in the day-to-day operations of the parish office, including answering phone calls, responding to emails, greeting visitors, maintaining the parish calendar, and ordering office supplies.
- Provide administrative support to the staff by obtaining necessary sacramental records for sacrament candidates, recording sacraments appropriately in the parish records in accordance with the requirements of the church.
- Maintaining schedule of mass intentions and coordinating with the parish Evangelization coordinator
- Maintain accurate records of parishioners, sacraments, and donor ledgers using ParishSoft.
- Assist parishioners by answering questions about parish events, registering new members, and coordinating the scheduling of weddings, funerals, and other events.
- Coordinating volunteer activities, recruiting volunteers and providing support to parish volunteers
- And other duties and responsibilities as assigned by the Pastor and staff.
To be successful in this role, the ideal candidate should have excellent organizational, computer and administrative skills, strong communication and interpersonal skills, stay updated with current technology. They should be able to work independently and as part of a team. Proficiency in Microsoft Word, Excel and Publisher is expected.
A strong commitment to the Catholic faith and the ability to maintain confidentiality is essential. The candidate should possess an understanding of the Catholic Church and its’ practices, be able to pass a background check and be willing to attend Protecting God’s Children.
