Summary
Provide administrative support to Program Director. Responsible for ensuring compliance with Seton Home’s internal policies, TDPRS (Texas Department of Protective and Regulatory Services) Minimum Standards and ORR Program Standards, in regard to filing and documentation for each resident. Conduct data entry, filing, scheduling, and word processing duties as assigned by Program Director. Operate under direct supervision of Program Director and work closely with program staff.

Position Responsibilities
- *Assist with completing and sending daily census
- *Responsible for quarterly reports (client counts, etc.)
- *UAC Portal tracking deadline and entering client information.
- *Track program financial receipts and supporting documentation as assigned by Program Director.
- Track assignments and due dates for Program Director.
- Monitor, track and analyze all internal measurements and tracking tools; report results to Program Director.
- Prepare various reports for ORR as assigned by Program Director.
- *Responsible for tracking notifications, plans of service, and extension letters and collecting supporting documentation.
- Help prepare and attend bi-weekly staffing meetings, record meeting minutes and inform staff of information via email.
- Research community for classes, activities and opportunities for collaboration that would benefit clients.
- Other duties as assigned by Director, Senior Director or Vice President.

Minimum Qualifications:
- Education
- High School Diploma or Equivalent; associate or bachelor’s degree preferred.
- Experience
- Minimum of 1-year administrative assistant experience preferred.
- License and Credentials
- Reliable transportation
- Valid driver license
- Valid vehicle insurance
- Must provide immunization/shot records.
- Submit to a state and federal background check, Child abuse and neglect registry check, and Tuberculosis screening.
- Be physically, mentally, and emotionally capable of performing assigned tasks and have the skills necessary to perform essential duties and responsibilities
- Varicella: two doses of varicella vaccine (at least 4 weeks apart) OR born in the United States before 1980 with a reported history of chickenpox (verified by an adult present at the time of illness) OR titers indicating varicella immunity OR documentation from healthcare provider verifying previous infection.
- MMR: two doses of MMR vaccine (at least 4 weeks apart) OR titers indicating immunity to all three diseases
- DTaP or DTap: Complete primary vaccination series. If primary vaccination series completed in childhood, one DTaP dose in adulthood.
- Influenza: one dose annually during flu season.
- Experience with computer software and MS Office (i.e. MS Word, Excel, Outlook, and OneDrive);
- Must apply concepts of basic mathematics including addition, subtraction, division and multiplication.
- Must possess the ability to calculate statistics.
- Must be detail oriented, organized, self-motivated, work well independently and on a team.
- Must have good written and verbal skills.
- *Bilingual: Fluent in English/Spanish with regards to reading, writing, speaking, and comprehension of the spoken language.
