Schedule: Monday – Friday, 8:30am-5pm
Reports to: Pastoral Admin Assistant
Position Purpose
This position is primary greeter and guide to parish services for all who walk in or call the parish. Position provides administrative support to various staff and office activity as directed. Position reports to Pastoral Administrative Assistant and serves as back up to communications director on scheduling rooms for meetings in parish facilities as well as preparing church bulletins. Position supports office staff as practical while remaining at reception desk.

Position Essential Functions
- Welcome and provide kind, prompt assistance and direction to all who enter or call the parish office.
- Recruit, train and manage volunteers for front desk coverage, including scheduling and finding volunteers to cover vacation time, etc.
- Collect information for Anointings, Funerals, Hospital Visits, Home Bound Communion, blessings (omeHou house, anniversary etc.) and provide to the appropriate person timely as needed. Follow up to ensure received.
- Write or copy and translate Prayers of the Faithful for weekend Mass, providing draft to Pastor.
- Assist with Mass Intention Requests
- Sell, distribute and assist with the sale of HEB gift cards for the Parish.
- Keep updated list of the deceased for masses, ensuring most updated version is in church for mass.
- Assist the Pastoral Administrative Assistant with funeral, mass and liturgy books. Assist Communications Specialist with development of bulletin and parish meetings calendaring.
- Assist with visiting priest schedule by calling priests to help fill times needed for Mass coverage, reconciliation or other needs.
- Maintain a neat and organized front desk area that is free from clutter and welcoming to visitors.
- Tidies, organizes and maintains the workroom/breakroom area.
- Maintain Family Life Kitchen keeping organized and stocked, including ensuring linens laundered.
- Supports Parish Operations Director with staff meeting set ups and food ordering as requested.
- Collect, track and report on all parish events requiring RSVOs.
- Practicing Catholic with a commitment to ongoing personal spiritual development and a sense of ministry. St. Peter’s parishioner strongly preferred.
- Must have a patient, pleasant and helpful interpersonal and communication style.
- Basic to Intermediate skill level with Microsoft Office and database applications. Graphics applications a strong plus.
- Ability to be Virtus certified under Safe Environment standards.
Minimum Qualifications:
Education
- High school Diploma or equivalent
- At least three (3) years’ experience of working in an administrative role providing direct support.
- Bilingual in Spanish and English preferred
