Incarnate School, an all-girls Catholic sponsored by the Sisters of Charity of the Incarnate Word, seeks a full-time Registrar for the 2024/25 school year. This position entails a full-time schedule. The school seeks to maintain a fully and authentically catholic high school.
POSITION SUMMARY:
Assists in the attainment of district goals by collecting and entering all student enrollment, withdrawal, grade reporting, and transcript data.
REPORTS TO:
Reports to the Principal of Incarnate Word High School. Works in collaboration with the Guidance Department and other colleagues.
RESPONSIBILITIES AND DUTIES:

- Receive incoming calls, take reliable messages, and route them to appropriate staff.
- Contact sending and receiving schools for records in a timely manner.
- Keys and verifies results according to administrative procedures.
- Recognizes and corrects errors in original data prior to processing.
- Recognizes deficiencies in source documents and communicate concerns to administrator.
- Prints reports using database information.
- Maintain confidentiality at all times.
- Maintain and log student records (request, file, update, and send.)
- Keep weekly enrollment count and distribute to appropriate personnel at the end of each week.
- Responsible for student report cards.
- Responsible for processing and input of student registrations and withdrawals daily.
- Input master schedule, instructional hours, and course data in a timely manner.
- Input student schedules and schedules changes based on an administrative request/directive only.
- Input grades for new students as provided by the counselor.
- Input all other student data to student system as assigned. Print report and have assigned staff review data and sign for accuracy.
- Create student folders with information, duplicate and send student information to new school in a timely manner.
- Prepare, Process and mail official transcripts, and/or student records upon request by parent/district.
- Strive to improve competencies by attending relevant training and seminars.
- Understanding of the mission of Incarnate Word High School.
- Successful completion of VIRTUS and background check.
Requirements
Education
- High school graduate; college or business school training.
Knowledge/Skills/Abilities:
- Ability to use personal computer and software to develop spreadsheets, databases, and word processing.
- Proficient typing keyboarding, file maintenance, and organization skills.
- Ability to meet established deadlines.
Experience:
- Two years of data entry experience, preferably at a school environment.
