CLIENT ACCOUNTS REPRESENTATIVE

The Client Accounts Representative provides customer service assistance for billing inquiries, monitors patient balances, and manages key administrative processes. This includes conducting thorough patient account reviews, handling medical records requests, and managing referrals and authorizations to ensure timely and accurate processing. The role is also responsible for creating and refining processes to enhance the experience for both patients and team members, ensuring accurate collections, and maintaining compliance with documentation standards.
Additionally, the Client Accounts Representative oversees revenue related to client balances after insurance payments or self-pay, ensuring that all financial and administrative interactions are handled efficiently and effectively.

KEY RESPONSIBILITIES:
Account, Billing & Records Management
- Troubleshoot and problem-solve patient accounts, completing necessary adjustments.
- Update patient insurance information, including memo entries for billing documentation.
- Process charge requests for services rendered to patients.
- Create refunds for patient or insurance over-payments, following policies and procedures.
- Answer billing inquiries from patients, offering customer service and resolving issues.
- Manage and process medical records requests, ensuring timely and accurate documentation.
- Handle referrals and authorizations, requests, or audits, including tracking and verifying approvals for patient services when assigned.
- Ensure compliance with privacy regulations (e.g., HIPAA) when managing patient records and authorizations.
Collections & Follow-Up
- Follow the collection process, including written and verbal correspondence with patients regarding unpaid claims.
- Track and follow up on outstanding authorizations and referrals to prevent delays in patient care.
Team Collaboration & Operational Support
- Collaborate with clinical staff to ensure accurate billing, documentation, and processing of patient services.
- Assist other personnel as directed by the Department Supervisor to ensure smooth operations.
- Perform other duties as assigned to support Architech Sports & Physical Therapy’s mission, vision, and values.

Education, Experience, Qualities and Licensing Requirements:
- 2 years medical office experience, including client relations
- Patient and pleasant personality; works well with a variety of people
- Flexible attitude; adaptable to new challenges and/or projects
- Experience handling medical records, referrals, and authorizations is preferred

- Ability to work independently, with little supervision
