Description
1. Billings Specialist
1.1 Prepare and issue invoices to clients based on contractual agreements and project milestones, ensuring compliance with project terms, gathering information from Project Managers, and reporting to the Quantity Surveyor for final review before submitting.
1.2 Collaborate closely with the Quantity Surveyor and cross-functional teams to gather essential documentation for invoicing and resolve any issues promptly.
1.3 Ensuring Billing invoice revisions are received, approved by project managers, and processed promptly.
1.4 Updating and managing the Billing Trackers spreadsheet for the various companies, ensuring the records are accurate and go out to the relevant Managers on time.
1.5 Working with the Accounts Receivable specialist, to resolve any issues or queries relating to the Billings.
1.6 Working with the Accounting Controllers to answer any questions they have in regards to billings.
1.7 Every month, I work with the project managers to prepare for billings and likewise work with accounting controllers at the end of the month to close out the billing cycles.
1.8 Ensuring that all Billing Backup documentation is obtained and processed with the Billing before it is sent out.
1.9 Other duties as assigned.
Requirements
2.1 High School Diploma
2.2 Proven experience in Billings, ideally within the construction industry.
2.3 Experience with AIA Billings.
2.4 Proficient in accounting software and Microsoft Office Suite (Excel, Word); experience with Spitfire, and or ERP systems is a plus.
2.5 Excellent communication and people skills, with the ability to build strategic relationships.
2.6 Notary license (Greatly beneficial for the role)
2.7 Meticulous and highly organized, with a proven ability to manage multiple priorities.
2.8 Ability to work independently as well as collaboratively in a team environment.
2.9 Construction laws and Lien experience. (Up-to-date knowledge of Florida Lien Law and Releases is greatly beneficial)
2.10 Experience with online billing platforms such as Textura and Procore etc. is beneficial for this role.
