Duties and Responsibilities:
- Contact and arrange shipment of outgoing freight with transportation brokers/carriers/partners
- Create BOL documentation for transportation and verify 3rd party BOL accuracy
- Supervise and/or conduct the outbound loading and inbound delivery of our products with attention to detail and safety
- Negotiate shipping rates to ensure customers and Arclight Dynamics receive the best rates possible to generate revenue for the company
- Coordinate multiple shipments per vehicle to optimize and consolidate loads where applicable
- Develop strategies to improve and maintain consistent carrier quality while maximizing outbound shipments throughout seasonal transportation trends/challenges
- Explore peripheral shipping options that maximize the company’s shipping potential. Analyze current shipping trends and devise strategies for shipping challenges (gas prices, natural disasters) that may impede the timely movement of product
- Communicate proposed arrival dates and times with customers as well as any updates and or changes to their pre-arranged delivery schedule in a timely manner
- Communicate expectations and shipping requirements for load security and successful delivery to transport drivers
- Coordinate international deliveries and prepare paperwork and commercial invoices in a timely manner. Clearly communicate details with freight forwarders or brokers as well as end user any special handling instructions, crate or palletization requirements, etc.
- Oversee all damage claims associated with the transportation of our outgoing products. Submit claims, follow through on claims for adequate reimbursement to Arclight Dynamics and/or customer
- Vet, negotiate, and onboard new broker/carrier relationships when necessary
- Monitor and maintain adequate shipping supplies associated with the transportation of our product including but not limited to wood for custom pallet builds, tarps, straps and bungees for sale to brokers/carriers, appropriate materials for table and non-table packaging activities, etc.
- Add, update, and maintain accurate data, details, notes, and progress statuses for table sales orders within the Logistics Spreadsheet (LSS) and any other tools used to organize and manage live table sales orders
- Subject matter expert on Arclight Dynamics shipping policies, and standard operating procedures
- Continuous improvement to ensure an efficient, safe, and consistent loading, transport, and delivery of Arclight products
- Capturing, organizing, and accounting for all pertinent shipment documentation and photos being uploaded to appropriate customer records database(s)
- Customer pickups – training schedule/calendar
- Clearly communicating transportation requirements to customers prior to pickup
- Final pack list checkoff for complete order fulfillment or documenting and communicating any known backorders/incomplete shipments
- Point of contact for incoming customer communications regarding order ETA’s and delivery expectations
- Assist and facilitate order picking activities with logistics team members
Requirements/Qualifications to perform this job include:
- Transportation industry experience preferred (basic knowledge of terminology, tactics, market trends/factors, etc.)
- Proficient in Google Workspace (Gmail, Sheets, Docs, Drive) and similar Microsoft tools (Outlook, Excel, Word, OneDrive)
- Basic understanding or willingness to learn database tools like Monday or HubSpot
- Composed, positive communicator with customers, drivers/brokers, teammates
- Highly detail oriented and organized
- Employee must be able to lift up to 60 lbs on a semi regular basis
- Frequently climbing in and out of trailers, flatbed /step deck trucks to photograph loads/secure loads and supervise the securing of loads.
- Operate a forklift safely and skillfully (Arclight Dynamics will train and certify)
