Job Summary
We are seeking a detail-oriented and knowledgeable Office manager to join our healthcare team. The ideal candidate will be;
- Responsible for administering the day-to-day activities of the business management, including: management of the office practice management software and computer system, the records of patients, and staff; staff interviewing/dismissal; accounts receivable and payable; inventory control; and recall. Payroll submission.
- Know and support the practice mission, long-term business plan, and short-term goals. Assist the doctor with other tasks as assigned.
SPECIFIC DUTIES
Office Management
· Manage and direct staff assignments and activities, in accordance with office policy and applicable laws
· Understand and comply with oral surgery office HIPAA compliance
· Manage compliance with OSHA, state and federal regulations
· Know and follow oral surgery office contingency plan
. Assist in Credentials from doctor and Office track
· Stay current with trends, legislation and regulations in the oral surgery profession
· Manage patient financial accounts
· Manage the hiring and ongoing performance of staff
Patient Management
· Oversee patient relations and referral relations
· Receive patient complaints and respond as directed by the doctor
· Explain office policy to patients and new employees
· Monitor patient relations through periodic patient satisfaction surveys
· General Human Resources such as but not limited to: payroll, benefits administration, time tracking, event planning, appraisals and termination.
Staff Management
· Assign, direct, and manage staff duties, as directed by the doctor
· Determine staff schedules and coordinate with the Front Office Coordinator
· Coordinate staff hiring process (i.e., recruiting, interviewing, hiring, etc.)
· Orient and train new staff including new management staff
· Train staff, including OSHA and HIPAA compliance
· Monitor staff performance and supervisor evaluations
· Conduct staff and salary reviews or assist the Doctor with staff reviews
· Engage in conflict resolution with all staff, and manage grievance complaints
· Make business arrangements for conferences with Doctor and staff
· Support staff as needed (i.e., appointment scheduling, collections, insurance, etc.)
Records and State and Federal Regulations Management
· Ensure that HIPAA Notice of Privacy Practices is on display
· See that records are stored securely and handled in compliance with HIPAA regulations
· Help implement state and federal regulations
· Arrange for OSHA and risk management seminars
· Maintain staff employment records
· Update and maintain employee office manual
· Help doctor draft office policy
Accounts Receivable and Payable Management
· Enter patient financial activity in computer
· Verify and record accounts receivable activity
· Prepare bank deposits
· Prepare statements
· Follow-up insurance claims
· Follow-up delinquent accounts
· Arrange payment schedules with patients
· Verify invoices with monthly statements
· Write checks as authorized and directed
· Balance bank statements
· Prepare materials for the accountant
· Review practice financial statistics regularly with doctors
Marketing and Public Relations Management
· Design marketing and promotional materials (print and electronic)
· Prepare oral surgery office advertising/recruiting ads for new staff and publish as directed by the doctor
· Implement marketing strategies
· Coordinate event planning, conference travel, volunteering, mentoring programs, etc. as directed from time to time
· Assist with oral surgery office facility management
Interpersonal
· Excellent communications skills; Able to communicate all concerns to the doctor and manage conflict resolution with both staff and clients
· Customer service or patient relations experience
PERSONNEL REQUIREMENTS
Educational/Experience
· High school diploma or equivalent; Bachelor’s Degree preferred
· Oral surgery practice experience preferred
· Working knowledge of computers for word processing, insurance claims processing and records management (list computer software experience required including any specific oral surgery software)
· Knowledge or experience in staff management
Job Type: Full-time
Pay: $30.00 - $35.00 per hour
Expected hours: 32 – 36 per week
