Job Summary:
Front Desk Administrative Assistant personnel are crucial in providing patients with a positive and efficient experience at our dental office. As a Front Desk Administrative Assistant staff member, your primary responsibility is coordinating insurance, greeting and assisting patients, handling phone calls, managing appointments, and maintaining accurate records. You will be patients’ first point of contact, ensuring a welcoming and organized environment.
Qualifications:
- Minimum of a high school diploma or equivalent.
- Must have insurance experience of at least 2 years.
- Previous experience in a dental or healthcare setting is preferred.
- Good knowledge of common dental terminologies.
Knowledge, Skills, and Abilities:
- Strong organizational, attention to detail, and multitasking abilities.
- Must be able to take initiative.
- Excellent communication and interpersonal skills; outgoing, friendly, and smiling.
- Outstanding customer relations skills to effectively handle clients from diverse backgrounds.
- Proficient mobile and computer skills; Eagle software experience is a plus.
- Understanding of privacy regulations and the importance of maintaining patient confidentiality.
Essential Functions
- Welcome patients and clients as they arrive at the office, creating a friendly and professional atmosphere, and notify the clinical staff of the patient's arrival.
- Obtain updated demographic and insurance information from patients and update it in their records, and register new patients.
- Verify insurance eligibility and benefits for patients for financial planning, and enter into patient account.
- File electronic claims daily, including attachments and narratives, when needed; re-file them as needed.
- Process insurance payments and adjustments by posting them to patients’ accounts and troubleshooting issues related to payments.
- Compile denial, delayed payment reports and follow up with insurance companies.
- Handling telephone calls, faxes, emails, and mail.
- Inform patients about the range of dental services offered by the clinic.
- Prioritize appointments based on the patient’s needs with the balance of the clinic.
- Assist patients in completing medical forms accurately to avoid errors or incorrect information.
- Confirm appointments and recalls according to office protocol and contact patients who fail to show up for their appointments.
- Adhere to HIPAA regulations to safeguard patient confidentiality.
- Perform other duties as assigned by the Doctor.
