Job Summary:
Responsible for assessing and prioritizing clients; arranging, and monitoring service delivery, vendor monitoring, and vendor agreement preparation.
Duties and Responsibilities:
- Responsible for responding to referrals; assessing, and screening clients for service provision; and prioritizing clients based on need and policies and procedures.
- Authorize services, arrange for service provision, and monitor vendor delivery of service.
- Analyze billing for services for the assigned group of service providers.
- Maintain open line of communication and coordination with the ADRC, OAA Providers, and other community entities to receive referrals and refer clients for other needs.
- Track service provision for appropriate timeframe of service delivery.
- Assist with completing client satisfaction surveys.
- Maintain accurate and current case files on each client as well as accurate data in both eCIRTS and Excel databases.
- Maintain waitlist and active client spreadsheets including demographic, targeting criteria and other pertinent information.
- Obtain, track, and reconcile vendor billing.
- Work with vendor agencies to ensure accurate billing and record keeping.
- Verify documents and billing for completeness and compliance with applicable program guidelines.
- Use various software applications, such as spreadsheets and databases to assemble, manipulate and/or format data and/or reports.
- Review authorizations and service plans versus billing to ensure services authorized.
- Follow up with vendors to ensure billing is accurate and provided technical assistance regarding program documentation requirements.
- Complete home visits and telephonic contract to ensure quality of services delivered.
- Recruit new vendors as needed.
- Assist with Vendor Agreement preparation.
- Assist with intern training and onboarding.
- Post information in eCIRTS database included but not limited to assessments, service plans, service authorizations, activities, and notes.
- Maintain client confidentiality, protected personal health information, and ensure secure storage of client records and information.
- Maintain professional skills for communicating with the public, professionals, and staff.
- Other duties as assigned by OAA Program Manager or Director of Programs & Accountability
Education:
High School/GED and experience with administrative support services. Experience working in a non-profit/human service/social services organization a plus. Case Aide/Case Management experience is preferred but not necessary.
Skills/Qualifications:
Experience with contracts and billing/reconciliation is preferred. Good communication, organizational, record keeping skills are required. Good knowledge of Microsoft products including but are not limited to Excel, Word, PowerPoin. Must have the ability to establish and maintain effective working relationships with AAA staff, clients, caregivers, and community vendors.
Special Requirements: Must pass DOEA Level II criminal background screening; must sign Medicaid Attestation Payroll Form per Department of Elder Affairs/AAAPP requirements. Must sign SMMCLTC Program – Prohibited Activities.
