WHAT YOU'LL DO
The Assistant Community Engagement Producer supports the Community Engagement Producer in developing and maintaining cultural, civic, and artistic partnerships with local and national organizations, businesses, community groups and individuals. This position contributes administratively to the Community Producing & Partnership division within the Community Engagement Department, promoting community activation, inclusivity, and conversation. Major administrative projects include but are not limited to on and off-site activations, audience enrichment: planning and leading pre/post-show discussions, and the annual Community Day. The successful candidate will be an organized, proactive individual passionate about community, civic, and social engagement and collaboration with a background in producing.
Key Responsibilities
Administrative Support:
- Provide administrative assistance to the Community Engagement Producer including identifying potential partnerships, scheduling meetings, managing calendars, and handling correspondence.
- Maintain organized records of community partnerships, agreements, and relevant documentation.
- Support receipt reconciliation and expense tracking for Community Producing & Partnership events, programs, and activations in coordination with the Business Office.
Communication and Liaison:
- Act as a liaison between Arena Stage and community partners, ensuring clear and consistent communication.
- Assist in drafting communication materials, reports, and updates for internal and external stakeholders.
Event Coordination:
- Leads pre/post-show logistics and moderation.
- Support the planning and execution of community events, workshops, and meetings in collaboration with community partners.
- Collaborates cross-departmentally on logistics, including venue arrangements, materials preparation, and participant communication.
Data Management and Evaluation:
- Maintain accurate and up-to-date databases of community partners, contacts, and engagement activities across multiple departments.
- Provide reports and assessments to measure engagement efforts' success and identify improvement areas.
- Assist in collecting and analyzing data related to community partnerships for reporting purposes and participant feedback.
Qualifications
- Bachelor's degree in a relevant field or equivalent experience.
- 2-3 years of related work in producing, events and or hospitality.
Skills Required
- Excellent communication, organization, and interpersonal skills.
- Attention to detail.
- Proven ability to prioritize multiple projects.
