Job Description
Shared Services is a function supporting Ares’ Corporate Services department. This role is responsible for running and optimizing core data processes relating to corporate real estate, employee biographies, business cards and photos, as well as metrics for key areas. In addition, this role manages corporate insurance policies. This role fosters data accuracy, compliance and efficient service delivery across Corporate Services and other related internal groups.
Primary functions and essential responsibilities
Shared Services
Managing and maintaining the global central repository of core data across various platforms within the organization, ensuring data accuracy, consistency, streamlining processes and accessibility.
- Website & RFP Bios: Run the firm’s bio process. Identify and implement process improvements to enhance data accuracy and efficiency across bios composition, including proofreading, editing, formatting and maintenance to conform them to the firm's bios standards.
- Employee Photos: Managing all employee photos internally and externally on the website.
- Employee Business Cards: Oversee all employee business cards, including maintaining standards, templates and approving invoices.
- Content Editing: Managing, formatting and updating website bios, employee photos and other various core data in the website CMS for all Ares websites.
- Investment Committee: Update and maintain central list for quarterly circulation.
- Distribution Lists: Request set up of any new office locations, including making changes to current locations and maintaining list of approved senders.
- Cvent: Account management, administrator and monitoring of usage.
- Daily Badge Reporting: Oversee the collection, validation, and maintenance of Ares office suite access data metrics within PowerBI dashboard, including uploading data and pulling reports from dashboard.
- Corporate Real Estate: Maintain core source information trackers on the firm’s offices and leases. Response to RFP Team requests relating to office or lease-related information.
- Insurance: Manage corporate insurance for the firm, including obtaining, evaluating and getting sign-off on quotes.
- Office Locations: Update and communicate internally and externally to various entry points during office onboarding, changes or closures.
- Core Data Projects: Digital business cards & employee photo automation projects.
Qualifications
Education:
- Bachelor's degree in Business, Information Systems, or a related field
Experience Required:
- 5 years experience in financial services, data management or a related role, with at least 1 year in a management position.
- Experience in corporate real estate, insurance and/or internal core data preferred.
- Information or database management.

The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.
$125,000 - $135,000
