Salary & Benefits

Primary Responsibilites
The ideal candidate will:
- Respond to requests of Director of Buildings & Grounds (B&G) and Assistant Superintendent of Finance/CSBO.
- Maintain confidentiality.
- Develop a schedule with vendors that provide preventative maintenance services and are audited every 2-4 years (the year before a contract renewal).
- Perform all accounting functions and inventory for B&G including ordering and processing purchase orders (POs), and vendor contracts if troubleshooting is required.
- Create budget reports on demand to help manage cost allocations for the District.
- Develop and maintain the Building Automated System (BAS) schedule to control the facility temperatures while reducing energy costs based on occupancy, usage, and scheduling with facilities rentals.
- Collaborate with the development and execution of an athletics, community, and events calendar so that our facility is a comfortable environment for occupants. Events on the calendar should also trigger work orders for custodial staff engagement for setup/takedown/cleanup when required.
- Create and maintain a Microsoft Teams site for B&G. This includes a file repository for all contracts, preventative maintenance agreements, and internal documentation. Such documentation would be part of the District’s Standard Operating Procedures (SOP).
- Utilize B&G Teams Site to schedule routine tasks such as yearly inspections and preventative maintenance tasks.
- Maintain all records for fleet vehicles utilizing Incident IQ website to upload all service records to track maintenance cost per vehicle.
- Assist in the hiring process for new B&G employees, execute performance plans, review resumes, and participate in the interview process.
- Develop and maintain a fair system for offering and tracking overtime for custodial staff.
- Maintain a projects spreadsheet to help track project costs and to set a timeline for completion.
- Tight controls on vendor management to ensure costs and timelines are met.
- Execute the use of building mapping software that will allow the digital identification of mechanical equipment (water valves, electrical vaults, etc.).
- Data Processing, Data Collection of assigned tasks.
- Assist in memos, filing, answering telephones and computer applications.
- Knowledge in school systems such as IVisions, Rycor, and PowerSchool preferred to oversee students’ fees collections process.
- Use of Student Information Software (PowerSchool) to accumulate information and reports.
- Strong familiarity with Microsoft Office including the development of Excel files for reports.
- Process all student fees payments from parents/staff.
- Day-to-day contact with staff, students and parents.
- Maintain calendar and appointment schedules.
- Able to perform responsibilities without direct contact and supervision.
- Assist other office staff when needed.

Qualifications

- Experience and knowlegeable of office procedures and equipment
- Ability to relate to sudents, parents, staff and community members
- Proficiency in Microsoft Office 365
- Excellent organizational, operational amd interpersonal skills.
