General Summary
The Administrative Manager plays a key role in supporting day-to-day operations and ensuring staffing alignment for events. This position is responsible for collaborating with GM and internal teams to meet staffing needs, maintain scheduling accuracy, and assist Event Managers with non-event day activities. Ensuring events are fully staffed while promoting a positive culture is their top priority.
Key Responsibilities
- Utilize scheduling software (e.g., ABI) to create and manage event schedules, ensuring adequate staffing levels.
- Collaborate with the General Manager (GM) to determine staffing needs and address scheduling concerns.
- Maintain accurate records for timekeeping, invoicing, and event documentation.
- Monitor staffing levels and assist with check-ins on event days.
- Schedule onboarding for new team members in coordination with Human Resources.
- Prepare and distribute necessary event paperwork and materials.
- Serve as a liaison between HQ departments such as HR, Accounting, and Admin/Operations to ensure seamless communication and support.
- Support staff check-in/out procedures and document attendance. Report any HR-related issues promptly.
- Adapt to changing needs and directives from the GM on event days.
- Work from the venue office when available, or at the main office (4001 Fox Street) when needed.
Knowledge, Skills, and Abilities
- 2 years of experience in staffing, scheduling, or administration.
- Strong leadership, communication, and interpersonal skills.
- Ability to lead by example and adapt to change positively.
- Proficiency in scheduling software, Microsoft Word, and Excel.
- Excellent organizational skills, attention to detail, and the ability to multitask effectively.
- Emphasis on providing outstanding customer service.
- Problem-solving and conflict-resolution skills.
- Must obtain and maintain a Guard License.
- Successful completion of 30/60/90 for salary consideration
Physical & Psychological Demands
- Ability to operate a computer and other office equipment regularly.
- Must be mobile throughout the venue during events and able to communicate with urgency.
