Position Summary:
The Representative Payee Specialist is responsible for tracking SSA benefits, both incoming and outgoing monies. This will include rent, utilities, food, medical care, clothing, hobbies and other needs. This specialist tracks balances for each participant and stays in regular contact with the participant and the participant’s care giver and case manager to answer questions and provide guidance.
Duties and Responsibilities:
- Bookkeeping
- All incoming social security funds, by participant, will be captured and deposit receipts will be kept in accordance with social security rules. The funds will be organized by participant and date to ensure clean records.
- All funds spent must have the appropriate approval and payment will be made within an appropriate time frame due to the needs of the participants. All funds will be captured and tracked, and all receipts and approvals will be scanned and organized so they may be retrieved easily at the future date if needed.
- All SSA reporting, including wage reporting prepared and available when requested by SSA.
- Any significant changes in the beneficiary’s circumstances will be reported promptly to SSA, particularly any that could affect eligibility or benefit amounts, such as address changes, medical updates or legal issues.
- Compliance with all SSA guidelines and policies regarding rep payee responsibilities.
- Any suspected misuse of funds should be brought to the CFO and Executive Director immediately.
- Customer Service/Communication
- Responds to questions from case managers, care givers and beneficiaries on funds available, or funds usage.
- Maintains regular communication with beneficiary’s, care givers and case managers to assess needs and ensure funds are being used appropriately.
- Performs other duties or special projects as required or as assigned.
Qualifications:
- High school Diploma, with college level accounting classes helpful
- 2 years’ bookkeeping experience
- Knowledge of Social Security benefits is helpful
- Proficiency in Microsoft Office suite
- Strong verbal and written communication skills
- Ability to maintain confidentiality
- Ability to work with people at all levels of the organization
- Ability to prioritize and multi-task in a fast-paced work environment, while remaining highly organized and detail-oriented.
Physical demands/Working Conditions:
- Predominately sedentary office position with high frequency of keyboarding/computer work required.
