About the position :
We are seeking a dedicated and enthusiastic Employee and Office Experience Associate to join our team in our modern office located in the heart of Midtown Manhattan. In this role, the ideal candidate will be the first point of contact for employees and visitors, ensuring a welcoming and seamless office experience. Your responsibilities will include handling a variety of tasks ranging from greeting employees and visitors to managing customer requests with a “no task is too big or too small” mindset. This is a full-time, in-office position with daily hours from 8 : 30am to 5 : 30pm, ideal for someone passionate about delivering exceptional internal and external customer service.
Core Responsibilities :
Front Desk Management :
Welcome and direct employees and visitors, serving as the first point of contact
Answer, screen, and route incoming telephone calls
Address inquiries from employees and visitors
Visitor and Security Management :
Manage visitor requests and issue ID cards through the security system
Oversee the management of access cards
Administrative Support :
Perform clerical tasks, including sorting mail, copying, scanning, and filing documents
Process and manage Travel and Expense (T&E) reports
Assist with the setup of the workspace for meetings, internal events, and catering
Prepare newsletters and manage communications
Workplace Organization :
Stock and maintain general use areas (e.g., reception, breakrooms)
Unpack deliveries and disperse mail
Customer and System Support :
Handle customer support requests efficiently
Manage the Customer Support System (CMS)
Respond to Salesforce inbox inquiries as per the response guide
Employee Onboarding and Engagement :
Support the onboarding process, including :
Seating arrangements
Nameplates and email setup
Employee Resource Group (ERG) introductions
Work with Office Manager to organize employee events and support ERG initiatives
Contribute to employee experience practices and engagement activities
Vendor and External Liaison :
Act as a point of contact for external providers (e.g., cleaning contractors)
Other Duties :
Coordinate deck navigation during virtual meetings, ie. Monthly Business Reviews (MBRs)
Perform other administrative tasks as assigned
Qualifications :
Friendly, welcoming demeanor to create a positive first impression
Detail-oriented with a proactive approach to problem-solving
Dependable and capable of working independently or as part of a team
Flexibility to handle unexpected tasks and adapt to changing priorities
Excellent organizational skills
Excellent written and verbal communication skills
Proficient in Microsoft Office and GSuite
Commitment to maintaining a clean, organized, and professional workplace
The following is considered a plus but not required :
Familiarity with event planning and employee engagement activities
Basic knowledge of security systems and access card management
Previous experience with Salesforce
