Job Summary :

OPS&DEV Coordinator must communicate and coordinate with multiple internal and external stakeholders for team unity, project success, Agency policies and standards, as well as, State and Federal compliance resolutions. OPS&DEV Coordinator monitor periodic project status progress schedule & compliance and performs compliance submittal and procurement purchase requisition processing. OPS&DEV coordinator oversees the administrative functions of both Risk management and Fleet management. This position recommends, trains, and ensures adherence to ASPT project standards of implementation to include but not limited to file organization, standard template forms, and best project management practices. The OPS&DEV Coordinator assist with approved funded projects and should exercise good sound judgment in the administration of their duties and responsibilities while working closely with the Chief of Development and the Development staff. Organizational thinking for the Agency to maximize the mission outcome through coaching and performance feedback cycle, opportunities to identify waste and develop revised processes to increase work efficiency and quality are key requirements of all State employees. This position coordinates closely with the Chief of Operations, Chief of Development, and the assistant Director of Ops and Dev for administration functions. This position reports directly to the Assistant Director of Operation & Development.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties :

  • Assist in file and document management of Development project filing methods and archival storage and retrieval.
  • Controls and maintains organization of construction files & documents, including historic records, for ASPT infrastructure (both paper and electronic).
  • Receives purchase requisition (PR) information from Development Manager to enter into Arizona Procurement Portal (APP).
  • When Purchase Order (PO) issued provides that information to appropriate ASPT personnel. - Receives invoices in APP for payment approval.
  • Close out POs when requested by authorized ASPT staff.
  • Receives documentation from ASPT staff, review documentation for completeness, researches SHPO database for additional information & recommends if additional cultural review is required from SHPO based on the information provided, researched and the MOU. - If SHPO consultation required submits documentation in approved format, tracks progress of SHPO review, receives SHPO response & relays the SPHO response to the appropriate ASPT personnel.
  • Oversight of all risk management in the agency ADOA compliance standards, incident reporting to ADOA, asset insurance coverage, oversee claims handling, risk record keeping and reporting, ensuring correct indemnification language in insurance sections.
  • Oversight of all Fleet management in the agency ADOT compliance standards, reporting to ADOT, Fleet insurance coverage, oversee claims handling, fleet record keeping and reporting, ensuring fleet maintenance request are processed to proper stewards, coordinate fleet fuel cards.
  • Maintain proposed project request form & spreadsheet.
  • Assist Regional Managers in submitting proposed project into the system.
  • Assist with the documentation collection and preparation for proposed budget request and current budget reporting to ADOA-GSD, OSPB and JCCR.
  • Coordinate with ADOA -GSD in maintaining ASPT building system inventory.
  • Verify the building system inventory is accurate and updated annually in conjunction with ADOA and the ARS timeline (typically June -July).
  • Assist in the maintenance & tracking of the ASPT fleet.
  • May assist Operations and / or Development staff in other related compliance submissions.
  • Other types of assist may include but not limited to ADOA-GSD (Procore), Natural resources (AZGFD), ADEQ permits, Tribal Consultation (legislative Liaison), Law Enforcement on-boarding, schedule and tracking Law Enforcement training required by AZ post.
  • Strategic thinking for the organization to maximize mission outcome.
  • Champions continuous improvement projects to identify waste and develop revised processes to increase work product efficiency, quality, and output.
  • Ensure visual management tools are being properly used by staff.
  • Participate or leads Development staff meetings, huddle, 1 : 1 sessions, project update meetings, etc.
  • Other duties as assigned as related to the position.

  • Pre-Employment Requirements :

    Must possess and maintain a current Arizona Driver's license appropriate to assignment.
