What are the responsibilities and job description for the EXEC ASST- CHIEF OF STAFF position at Arizona Department of Child Safety?
This position reports directly to the Chief Information Officer (CIO) and is required to maintain a direct confidential working relationship with the CIO. The incumbent will brief the CIO on sensitive matters; and may participate in the strategic planning and discussions. This position acts for the CIO and has the ability to speak and take action on behalf of the CIO, including assigning work and delegating tasks throughout the department.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties :
- Maintain the Chief Information Officer's calendar; serve as the primary contact for the CIO; review and maintain the CIO's phone messaging, email, correspondence, and etc.; and ensure the CIO attends, and is prepared for meetings on time and at the right location.
- Attend meetings with the CIO; assist with arranging, and coordinating staffing team meetings, events, and etc. record, transcribe and distribute minutes, monitor and track the progress of tasks and assignments resulting from meetings, and ensure the CIO Is Informed of the results of meetings.
- Assist the CIO with staying on track to ensure tasks are completed; delegate tasks on behalf of the CIO, track assignments, assign work as appropriate on behalf of the CIO; and monitor the progress of assignments given by the CIO.
- Prepare and edit correspondence, communications, presentations using Power Point and other documents; conduct research, collect and analyze data to prepare reports and other documents.
- Confidential advisor to the CIO, work with the CIO on department issues; advise agency management on course of action; the department contact for the CIO when not available; prepare the CIO for meetings; participate on special project teams and represent the CIO on work teams; manage and maintain executives' schedules, appointments and travel arrangements.
- Prepare and complete special research projects which may include access to confidential personnel information, coordination of Information with other state and / or national entities, including the Governor's Office.
- Receive and interact with incoming visitors, internal staff at all levels, and external clients; review operating practices and Implement improvements where necessary; provide indirect supervision, coach and train other staff.

Three (3) years experience providing support at a high level Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite Bachelors degree is a plus
Pre-Employment Requirements :
Must be able to secure and maintain an Arizona Fingerprint Clearance Card.
Must be able to secure and maintain clearance from DCS Central Registry
This position requires driving or the use of a vehicle as an essential function of the job to conduct State business, then the following requirements apply : Driver’s License Requirements.
