What are the responsibilities and job description for the Front Desk/Receptionist Law and Mediation Firm position at Arizona Mediation Institute?
We are seeking a Front Desk Receptionist to join our legal mediation team. The ideal candidate will be the initial point of contact for our office, and must present a professional and friendly first impression to clients and other visitors and provide administrative support for our mediators and assistants.
Responsibilities
- Answer multi-line telephone, transfer calls, answer questions and provide accurate information to callers as requested regarding our legal and mediation services
- Manage office calendar, appointments and conference room assignments daily and respond to emails
- Assist mediators and staff with scheduling, appointment confirmations, correspondence and legal document preparation, filing, opening and maintaining client files and databases, transcription of dictated documents, copying, scanning, proofreading and editing documents, preparing pleadings for filing or e-filing with the court
- Monitor office and hospitality supply levels, place orders for supplies, coordinate delivery and stock supplies
- Keep kitchen, file room and conference rooms clean, stocked and organized
- Sort and deliver mail
Qualifications
- Prior experience in a receptionist/front desk, customer service, or secretarial role
- Strong written and verbal communication skills
- Proficiency in using phone systems and standard office equipment (copier, scanner, printer, postage software, etc.)
- Attention to detail, ability to proofread documents accurately
- Ability to multitask, prioritize, and work efficiently
- Previous experience in a legal or family law environment is a plus
- Competent computer skills/word processing software experience required; familiarity with Timeslips (or other timekeeping/billing software), proficiency in Outlook, MS Word, Excel, Adobe is a plus
