Position Summary:
The Arizona Supreme Court, Judicial Assistant position is an exempt salaried position that provides organizational support for a supreme court justice. The position is responsible for administrative, secretarial, and clerical assignments and requires knowledge of court rules and procedures. The position requires limited supervisory skills of judicial law clerks, interns, and externs. The position, as a liaison for the judge, works well and cooperates with other court departments to fulfill the functions of the court as a whole. The position works independently under limited supervision.

Full-Time (40 hours per week), Monday - Friday, 8 hours per day

Salary: $66,307.00 annualized

Essential Functions:
  • Exercises considerable initiative and independent judgment in setting priorities and making decisions with regard to caseflow management for the chambers.
  • Prepares, drafts, reviews, and finalizes court orders and notices, Opinions, correspondence, and memoranda.
  • Sets, coordinates and manages the chamber calendar including court agendas and case conferences, oral arguments, training sessions, meetings, and public outreach events. Prepares and organizes the necessary division files to support those activities.
  • Serves as the judicial liaison for the chambers by answering, directing, and responding to incoming calls from the legal community, other state offices and agencies, and court staff.
  • Performs research necessary to answer inquiries or resolve problems and/or complaints.
  • Reviews incoming documents and mail directed to the division and routes or responds appropriately.
  • Works closely with the Clerk’s Office and Staff Attorneys to ensure that materials are received and sent out in a timely fashion.
  • Administers the law clerk program, including maintenance of resumes, contacting applicants and scheduling of interviews.
  • Applies knowledge of policies and computer programs to ensure compliance with Court timelines.
  • Assists Justices with the preparation of special presentations and/or conference participation, including, but not limited to, scheduling conference calls or in-person meetings, creation of notebooks and exhibits, gathering, reviewing, and verifying case documentation, court statistics and other materials.
  • Provides administrative and clerical support to assist Justice with active membership and participation in various workgroups, committees, and commissions.
  • Makes travel arrangements and submits necessary forms for reimbursement of expenses.

Minimum Education and Experience Requirements:

High school diploma or GED and five years of progressively responsible legal administrative and secretarial experience working in a court system or legal office. A combination of education and experience may be considered on a year for year basis in substitution for the minimum requirements.

Knowledge, Skills, and Abilities:

  • Knowledge of administrative office practices and procedures, the standard format for typed materials, including proper memoranda, briefs, drafts, opinions, recordkeeping systems and file maintenance, and standard office procedures and practices.
  • Excellent oral and written communication and organizational skills.
  • Ability to maintain confidentiality concerning sensitive information and cases before the Court.
  • Knowledge of computer software, including PowerPoint, Excel, MS Word, Adobe Acrobat, and ability to learn and use in-house electronic case management system.
  • Ability to manage time effectively, give attention to detail and organization, analyze information to solve problems and make effective decisions.

Physical Requirements and Equipment Operations:

  • Ability to sit for long periods of time.
  • Ability to communicate effectively on the phone, by computer, and in person.
  • Ability to do some light lifting.
  • Ability to operate office equipment, such as a personal computer, fax machine, and copy machine.

Selection Process:
Applicants must be currently authorized to work in the United States on a full-time basis. Only applicants whose backgrounds most closely meet the needs of the position may be invited to interview and/or participate in the testing process. The Selection Process may include computer testing (Word, Excel, PowerPoint, Outlook, proofreading, typing, etc.) and first and/or second round panel interviews. This is a Regular, Full-time, Exempt position.
